Office Administrator
Job description
Office Administration:
- Manage daily office operations, including scheduling meetings, maintaining supplies, and coordinating office logistics.
- Handle administrative tasks such as record-keeping, document management, and correspondence.
- Address and resolve office maintenance and facility-related issues to ensure a productive work environment.
Project Support:
- Organize travel arrangements, accommodations, and meeting schedules for project teams and stakeholders.
- Prepare and distribute project-related documentation, such as reports, presentations, and memos.
- Assist in organizing and coordinating project events, training sessions, and workshops.
Stakeholder Engagement:
- Act as the primary point of contact for internal and external stakeholders regarding office-related matters.
- Collaborate with HR and finance teams to manage timesheets, expense tracking, and employee records.
Compliance and Regulatory Adherence:
- Ensure compliance with UAE labor laws, health and safety regulations, and other relevant standards in administrative operations.
- Monitor adherence to local regulations in the UAE, ensuring alignment with project-specific requirements.
- Prepare and maintain documentation required for audits, inspections, or regulatory reviews.
- Maintain up-to-date knowledge of UAE labor regulations, visa processing requirements, and data protection policies to guide administrative processes.
- Ensure all office practices align with Medisun Energy’s policies, industry standards, and local legislation.
Office Efficiency and Process Improvement:
- Identify and implement process improvements to enhance administrative efficiency.
- Develop and maintain an organized filing system for project and office documentation.
UAE-Specific Compliance Responsibilities:
Labor Laws:
- Ensure adherence to UAE labor laws regarding employment contracts, employee benefits, and leave management.
- Oversee visa processing and residency requirements for employees working on the project.
Health and Safety Compliance:
- Implement workplace health and safety protocols as per UAE standards.
- Conduct regular checks to ensure office facilities meet safety and regulatory requirements.
Data Protection and Privacy:
- Handle employee and project data securely in accordance with UAE data protection laws and Medisun Energy’s policies.
Audit and Financial Compliance:
- Collaborate with finance teams to maintain proper documentation for expenses and align with UAE financial reporting requirements.
- Support audit preparation and ensure compliance with internal and external audit standards.
