Job description

Job Purpose : The Administrative Officer is responsible for meeting, greeting, and directing Parents, Guests, and Vendors to staff. The post holder will also provide secretarial, clerical, and administrative support efficiently and effectively.

Main Accountabilities :

  1. Provide office support services to ensure efficiency and effectiveness within the Nursery.
  2. Answer, screen, and forward incoming phone calls, providing basic information as needed.
  3. Provide general support to visitors.
  4. Take parents on a tour of the Nursery.
  5. Receive and sort daily mail, deliveries, and couriers.
  6. Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges).
  7. Update appointment calendars and schedule meetings/appointments.
  8. Assist in the preparation of meetings, conferences, and conference calls.
  9. Maintain supplies inventory by checking stock levels, anticipating needs, placing and expediting orders, and verifying receipt.
  10. Collaborate with various stakeholders to complete key tasks and projects.
  11. Ensure the operation of equipment through preventive maintenance, repairs, and inventory management.
  12. Perform clerical duties such as filing, photocopying, collating, and faxing.
  13. The candidate should be able to converse in Russian.

Job specifications :

  1. Bachelor's degree in any discipline.
  2. Minimum of 4 years of professional administrative experience.
  3. Excellent customer service skills.
  4. Effective communication skills in written and verbal formats, with ability to build and maintain relationships.
  5. Proficiency in MS Word, Excel, PowerPoint, etc.
  6. Strong interpersonal skills to work effectively with all levels of staff and management.
