Job Title: Document Controller

Job Description

The Document Controller is responsible for managing and overseeing documents for projects or the entire organization. Responsibilities include creating, signing, storing, backing up/archiving documents, and ensuring compliance with retention policies. The role involves preparing reports (daily, weekly, monthly), enhancing documentation systems, and preparing Word or Excel tables, forms, etc.

Key Accountabilities
  1. Provide high-level customer service and present the company professionally.
  2. Enhance documentation and archiving systems.
  3. Prepare required tables, forms, and reports.
  4. Analyze and improve business processes related to document management.
  5. Manage document intake, handling, storage, and version control.
  6. Develop and implement document control processes.
  7. Ensure documentation compliance with standards and regulations.
  8. Review and update documents regularly.
  9. Coordinate with project teams to ensure proper documentation.
  10. Record, review, and distribute meeting minutes.
  11. Monitor regulatory compliance and manage risks related to document management.
  12. Provide in-house training as needed.
Required Skills and Qualifications
  • Bachelor's degree in Business Administration, Information Management, or related field.
  • Minimum of 7 years' experience in engineering, construction, or project management systems.
  • Proficiency in Microsoft Office, especially Excel, Word, and PowerPoint.
  • Good communication skills and attention to detail.
  • Experience with document management software and systems.
