Job Responsibilities
- Arrange cost-effective travel for crew joining and departing assigned vessels to meet crew change schedules. Coordinate crew logistics, reducing overlap as much as possible, and ensure all relevant parties are informed of travel details (crew members, vessels, agents, etc).
- Arrange visas, vaccinations, or additional training required for crew prior to mobilization, utilizing relevant support services where appropriate.
- Ensure all national and flag state certifications required for each crew member are obtained and that licenses are valid at all times.
- Maintain up-to-date personnel files and crew certifications. Conduct inductions for newly hired sea staff in line with company procedures.
- Maintain weekly crew change reports, detailing all on and off signers.
- Create Vessel Crew Changer in NSE at least 21 days prior to crew change; apply system’s crew changer 3 days after crew change completion.
- Update crew details regularly on the system (JDE and/or NSE).
- Coordinate with Finance to ensure final settlements are completed before payroll cutoff.
- Raise Purchase Orders for travel, flag state, and other services, ensuring all paperwork is completed for prompt invoice payment.
- Send original documentation regularly to assigned vessels.
- Coordinate with HR and Crewing Manager on crew relief schedules.
- Liaise with the Master to ensure crew appraisals are submitted on time and circulated to the Crewing Manager for review.
- Participate in the Out of Hours contact roster.
- Perform any other duties as directed by the Crewing Manager.
Desired Candidate Profile
Minimum Qualifications:
- Degree/Diploma in Human Resource Management, Crew Management, or a similar field.
- At least 2 years of experience in mobilizing/planning crew for the offshore industry.
Job-Specific Skills
- Proficient in computer applications and capable of working in a multicultural environment.
- Knowledge of STCW and flag state requirements.
- Highly organized with the ability to multitask.
- Willing to work flexible hours, cope well under pressure, and pay good attention to detail.
Key Attributes
- Understanding of Offshore Vessel Management.
- Knowledge of Marine Operating Standards and Requirements.
