General Purpose
The Wedding Manager plays a pivotal role in orchestrating exceptional wedding and social event experiences and overseeing all aspects of business development, strategy and event planning. This position requires a dynamic individual with strong leadership, organizational, and customer service skills to ensure every wedding and social event are flawlessly executed and exceed guest expectations. The manager is responsible for driving revenue, maintaining operational efficiency, and fostering a culture of excellence within the department.
Additionally, the role involves representing the resort at trade shows and sales trips, actively prospecting for new business.
This position will report directly to the Director of Event Sales.
Essential Duties & Tasks
Sales, Business Development and Event Planning
- Assess and manage wedding and event inquiries by negotiating room rates, minimum food and beverage spend, and room-to-space ratios to secure business and achieve individual and departmental goals. Identify and maximize revenue opportunities across all resort sales channels
- Establish and nurture a network of wedding planners both locally and internationally to drive lead generation and conversion within the wedding segment
- Develop innovative concepts to attract destination, regional, and local weddings. Collaborate with operational teams to ensure robust sales processes are in place.
- Drive wedding sales by acquiring new business, designing bespoke décor concepts, and partnering with trusted vendors to deliver exceptional experiences
- Upsell wedding packages and merchandise to consistently meet or exceed budget targets
- Engage with internal and external stakeholders to uncover and act on growth opportunities
- Make strategic decisions informed by business trends, guest satisfaction metrics, and revenue performance
- Represent the resort at tradeshows and industry events, maintaining five-star standards and executing territory strategies through hit lists and annual business plans to track performance
- Ensure accuracy and professionalism in all guest correspondence, while maintaining flexibility in booking policies to accommodate client needs.
- Manage client communications via phone, email, and in-person meetings, including screening and directing inquiries appropriately
- Coordinate guest reservations for shows, dining, accommodations, spa/salon services, transportation, and other amenities to enhance the overall guest experience
- Collect all relevant event details from clients—including guest count, venue preferences, timing, special requests, and service requirements—prior to finalizing the event agreement. Once confirmed, compile and hand over the complete information package to the service team to ensure flawless execution
Reporting & Administration
- Monitoring group & event budgets ensuring that targets are met with the quarter and the full period of the year
- Prepare and maintain departmental reports for review by the Director of Event Sales
- Manage contracts, billing, deposits, and payments with accuracy and transparency
- Represent the department in meetings during the Director’s absence
Team Leadership
- Conduct quarterly one-on-one meetings with Coordinators to review goals and progress
- Promote a team-oriented work environment within respective teams by offering guidance and support to team members, including coordinators, to encourage teamwork and ensure all duties meet department and resort standards
Marketing Collaboration: Collaborating with the marketing team to promote events and increase sales. This includes generating reports on sales performance and recommending improvements
Additional Duties: Assume other responsibilities as requested by the Director of Event Sales and the VP of Hotel Sales
Education
Bachelor’s degree required in Hotel Management, Marketing or Business Administration preferred
Skills / Knowledge
- A minimum of 3 years of related experience is required.
- Requires a minimum of 5 years of experience in hotel sales.
- Proficiency with MS Office, Delphi and hotel operating systems.
- Requires strong communication, analytical, and organizational skills.
- Ability to develop and implement long-term strategies that align with company goals.
- Ability to achieve established quarterly individual room night goals.
- Strong problem-solving skills to address client needs while maximizing company revenue.
- Expertise in cultivating and maintaining long-term client relationships.
