ROLE SUMMARY

The Project Manager will be responsible for the detailed planning, organizing, material specification, contractor evaluation, execution, monitoring and project control, ensuring timely and successful delivery of fitout projects (new/ refit/ refresh and rollouts) of moderate to high complexity with shared small to medium sized team from inception to completion. This role will focus on the creation of the project vision and planning documents and manage the implementation, reporting, and performance of the overall project with the expectation of delivering within specified timeframes, in an organized and cost-effective manner within budget and to scope, to meet business satisfaction and maintain continuity of business.
To assist Senior Project Managers reporting the progress of projects. The role involves coordination with internal departments, consultants, malls, and contractors to ensure technical and quality standards, timelines, budgets, and safety requirements are met

Responsibilities

ROLE PROFILE / RESPONSIBILITIES
  • Reporting to Senior Project Manager, implement company procedures and project objectives on site including the project takeover from Inception, brand concept design through construction and handover always ensuring protection of company contractual position.
  • Coordinate the identification and elicitation of requirements; conduct analysis of those requirements for completion and alignment; document and manage requirements throughout the life of the project; and coordinate the verification of the end deliverable.
  • Coordinate with MEP design Consultants to ensure the correlations of all services within Architectural designs.
  • Manage the delivery of research, workshops, and other activities to support the specification and agreement of project deliverables.
  • Plan and deliver stakeholder engagement activities to develop effective working relationships for projects and to ensure that stakeholder needs and concerns are identified and met.
  • Produce workstream or project plans and program, ensuring that all activities are identified, appropriately organized to deliver project objectives, and comply with the organization's project management framework.
  • Define project success criteria and develop full-scale project plans and associated communications /documents, effectively control, & disseminate them to involved parties in a timely and clear fashion.
  • Establish project construction program, long lead and nomination schedules, drawing and material tracking schedule etc.
  • Proactively manage changes in project scope, identify potential crises, and devise contingency plans with approval from senior management.
  • Coordinate with territory projects team; communicate the necessary outcomes and the direction required to achieve them; coordinate team actions on project tasks; request additional team member support when needed; and identify areas of improvement to build the capability of the team through training, coaching, and mentoring.
  • Conduct / attend site progress meetings with subcontractors / territory teams / consultant, ensure programme adherence, submit project progress reports, flag and resolve any contractual / commercial issues affecting the project progress, inclusive of EOT criteria.
  • Cost reports to be prepared along with site QS and present monthly site progress reports at cost meetings. Develop and deliver progress reports, proposals, requirements documentation.
  • Effectively monitor and manage variations or deviations from the BOQ or orders placed and ensure approval by concept team, in conjunction with site and territory QS.
  • Receive and manage snag list from consultant and ensure timely completion of project including close out procedures as stipulated in Project Blue book.
  • Support the design team/ QS team with technical inputs, unit specifications and design information required for design intent drawings, capex inputs and tender preparation.
  • Review and manage technical documentation including shop drawings, method statements, RFIs, and variation requests.
  • Prepare moderately complex documents using a variety of applications for technology devices, such as standard office software. Also responsible for gathering and summarizing data for reports.
  • Assign short-term work schedules to a team of subordinates in order to achieve expectations while following established timelines.
  • Conduct assurance reviews within the project, facilitate the delivery of assurance reviews by independent third parties, and take appropriate action to resolve any issues identified, so that senior stakeholders have confidence that the project can deliver according to time, budget, and quality.
  • Liaise with supply chain and third-party vendors and verifying procurement status.
  • Draft project review reports and presentations, including key information, commentary, and recommendations, to support the review process and enable stakeholders to evaluate progress and agree on change.
  • Manage the deployment of project resources, proactively managing project costs, providing forecasts, and presenting variances with narrative at appropriate review points to ensure effective utilization.
  • Identify and evaluate risks, issues, dependencies, and constraints associated with the project, escalating matters where appropriate. Where necessary, develop, agree on, and implement solutions to overcome these concerns.
  • Draft elements of product documentation and user training to support handover to business as usual. Contribute to post-project reviews and identification of lessons learned.
  • Documenting Lessons Learned and sharing knowledge within department team members to mitigate risks and continuously enhance processes and deliverables.
  • Support quantity and invoice verification and certification of completed works.
  • Contribute to reviewing existing operations in own area of work and generate new ideas to assist in identifying continuous improvements.
  • Develop own capabilities by participating in assessment and development planning activities as well as formal and informal training and coaching; gain or maintain external professional accreditation, where relevant, to improve performance and fulfil personal potential.
  • Maintain an understanding of relevant technology, external regulation, shop fittings and industry best practices through ongoing education, attending conferences, and reading specialist media.
  • Assist in detail development and researching new products/solutions and systems that accomplish the design intent and cost effectiveness.
  • Guide and motivate subordinates to enhance performance and produce quality work and ensure they are continuously developed for higher level roles


Qualifications

REQUIREMENTS
  • Qualifications: bachelor's degree in architecture/ civil engineering; Project Management / Construction Management Certification preferred.
  • Project Skills: Project Management, Spatial understanding, Construction methodology, Technical Input, Planning and Organizing, Progress Monitoring, Quality, HSE, QA/QC, Site documentation, Design Coordination, presentation, reporting efficiently and delivery.
  • Experience: Graduate with 10+ years' extensive fit-out site experience with at least 2-3 years in a senior role leading and managing independent client retail projects/ site development projects (mandatory). Proven track record in planning managing & delivering fit-out projects throughout the project's lifecycle, within set budget & timelines. Experience in coordinating with consultants, contractors, and cross-functional internal teams including finance and merchandisers. Ability to manage multiple tasks within established procedures and practices, with latitude to determine work priorities in a demanding environment.

PREFFERED
  • Hands-on experience in ID (civil & MEP) fitout, knowledge of estimation, exposure to contracts administration, exposure to latest building materials, building systems and interior trends through formal or informal training (on-the-job experience).
  • Valid UAE driving license is an advantage.
  • Previous experience working in GCC region.
  • Knowledge of Arabic is a plus.
