Job Opportunity – Logistics & Administration Executive

Location: Dubai – Bur Dubai

Al Zaytoona Computers LLC, a leading IT distribution and wholesale company, is looking for a highly motivated and detail-oriented Logistics & Administration Executive to join our growing team. The ideal candidate will manage end-to-end logistics, order management, and general administration while ensuring smooth operations across departments.

Responsibilities

Logistics & Order Management

  • Collaborate with the purchasing team to streamline order processing.
  • Manage payment authorization for submitted orders in compliance with financial protocols.
  • Monitor order progress and update suppliers and internal departments to ensure timely delivery.
  • Coordinate with suppliers and shipping agents to address issues and meet delivery schedules.
  • Maintain accurate records of order documentation and correspondence.
  • Negotiate with freight brokers and shipping companies to secure competitive quotations.
  • Ensure compliance with delivery schedules and monitor shipment processes.
  • Review purchase orders and shipping documents (invoices, packing lists, Certificates of Origin, Bills of Lading) for accuracy and compliance.

General Administration

  • Review daily bank statements, reconcile records, and request approvals for fund transfers.
  • Manage company expenses including supplier payments, freight, utilities, salaries, and office costs.
  • Handle trade licenses, medical insurance, bank KYC, and related documentation.
  • Process Certificates of Origin via Dubai Chamber and ensure compliance with export regulations.
  • Renew trade licenses, lease agreements, and financial submissions via Dubai Trade Portal.
  • Manage calls, emails, and office documentation in line with company policies.
  • Review client statements and follow up on overdue invoices.
  • Maintain organized files and records for compliance and efficiency.

Customer Support & RMA

  • Handle all customer inquiries related to returned merchandise.
  • Update and track RMA files for both local and Iraq clients.
  • Verify RMA eligibility for sales and supplier warranties.
  • Coordinate with suppliers for warranty claims and follow up on status.
  • Provide clear updates to customers regarding RMA progress and timelines.

VAT Returns

  • Encode expenses for VAT return processing.
  • Review VAT declarations via the portal.
  • Coordinate with accountants for VAT return submissions.
  • Prepare and submit final VAT documents to FTA.
  • Process VAT payments via the FTA portal when applicable.
Qualifications & Skills
  • Bachelor’s degree in Business Administration, Logistics, Finance, or a related field.
  • 3–5 years of experience in logistics, order management, or administration in the UAE.
  • Strong knowledge of trade licenses, VAT, FTA portal, and Dubai Chamber procedures.
  • Experience in supplier coordination, freight negotiation, and RMA handling.
  • Proficiency in MS Office (Excel, Word, Outlook).
  • Excellent communication and organizational skills.
  • Ability to multitask and work independently under pressure.
  • Fluency in English is required; Arabic is an advantage.
