Job Description

Wood is recruiting for a Logistics Coordinator to join its UAE Business Unit to carry out all activity per Wood Supply Chain Code of Conduct, ensuring statutory and legal requirements and applicable processes and procedures are complied with and all documents are filed accurately and fully auditable.

This role is onsite in Dubai, UAE and requires travel.

Responsibilities

Key objectives include

• Responsible for carrying out all activity per Wood Supply Chain Code of Conduct, ensuring all statutory and legal requirements and applicable processes and procedures are complied with and all documents are filed accurately and fully auditable.
• Support the objectives of the Health, Safety, Security, Environmental and Quality Policy and Information Security Management Policy by adhering to applicable procedures and work instructions.
• Understand and live Wood’s vision, values, and behaviours.
• Understand and work with the Wood Financial Management Framework.
• Allocate, control, issue, and marshal materials between work locations and suppliers per project requirements.
• Produce shipping documents for all material movements.
• Update procurement systems with goods receipts, manifests, and shipping documentation promptly.
• Manage freight forwarding, import/export and customs control activities.
• Adhere to Shipping Execution Procedures.
• Comply with secrecy agreements of licensors, clients, and the Global Execution Centre.
• Be familiar with project specifications, terms, and conditions.
• Prepare and issue specific Project Shipping Procedures as directed by management.
• Prepare and issue Purchase Order Attachments related to shipping requirements.
• Establish communication lines for the Project between the Shipping Team, Project Manager, Engineering, Procurement, Accounts, and Construction.
• Review the Computerised Tracking System to record each stage of shipping operations.
• Negotiate freight rates with freight forwarders and maintain a register of changes.
• Perform detailed shipping surveys, including route availability, import agent selection, and meetings with customs, transport, and treasury authorities.
• Manage out-of-gauge load expediting reports and make shipping arrangements.
• Monitor shipping man‑hours to ensure budget compliance.
• Process discrepancy reports and claim against suppliers and carriers.
• Investigate import requirements and provide information at proposal and project stages.
• Maintain and file shipping documentation for auditing purposes.
• Ensure supply chain activities align with the project execution plan and budgets.
• Update the Project ERM and Freight Forwarding Tracker with delivery times and notify delays.
• Carry out other tasks as reasonably requested.
