Job Purpose:
The role involves managing front desk operations, coordinating with various departments, handling documentation, customs clearance, export/import documentation, and transportation logistics. It requires high coordination, punctuality, and accuracy in data entry to ensure smooth customer service.
Duties & Responsibilities:
- Coordinate dispatch of products.
- Enter Product Release Orders and Delivery Orders into the inventory system.
- Record drum requirements according to the drumming schedule.
- Maintain files for Delivery Orders and supporting documents.
- Record daily tank dips and tank levels for records and reference.
- Coordinate with customers and shipping companies for transportation arrangements.
- Provide monthly activity reports for all terminal activities.
- Coordinate with drum suppliers for daily operational usage.
- Enter data for goods receipts and dispatches into the inventory system daily. Maintain DO files with supporting documents.
- Monitor and update daily dispatch activities according to the plan.
- Prepare daily delivery note summaries.
- Operate within the environment, framework, and boundaries, interfacing with finance, administration, operations, clients, and vendors to support services. Report directly to the Finance Executive.
- Maintain good relationships with clients, vendors, and suppliers.
- Apply good numeric skills and quick analytical ability for customs duty calculations.
- Work is reviewed and supervised by the Finance Executive.
Experience:
- Graduation from a recognized university.
- 2-5 years of experience in logistical operations, preferably in the oil and gas sector.
- Knowledge of customs regulations and documentation related to export/import.
- Awareness of transport regulations for hazardous materials.
- Proficient computer skills, including spreadsheet development.
- Strong written and verbal English skills.
