Job description

We are currently hiring a Leasing Coordinator & Receptionist to join the Property Management division of one of our group subsidiaries. This role is responsible for ensuring the smooth operation of leasing activities and managing the front desk, all while representing the organisation in a professional and welcoming manner. It also involves delivering exceptional customer service and providing strong administrative support. Key Responsibilities:

Leasing Coordination

  • Record and manage all leasing leads in CRM, and assign to the relevant executive or department.
  • Contact walk-in and referral leads to assess requirements and update CRM accordingly.
  • Maintain and update a waiting list for prospective tenants.
  • Prepare and update the weekly vacancy tracker.
  • Schedule pre-inspections for upcoming vacancies.
  • Keep property portals updated with current availability.
  • Share availability lists with third-party agents and manage related queries.
  • Follow up on leads and offers from third-party agents.
  • Maintain lease tracker and coordinate lease signatures with landlords.
  • Monitor the Noqoodi system and coordinate with finance for top-up requests.
  • Generate and share Ejari and Noqoodi monthly reports with finance.
  • Assist in maintaining positive relationships with customers and resolving queries.

Reception

  • Professionally greet and assist all customers and visitors.
  • Manage incoming phone calls and emails inquiries.
  • Maintain the bookings of meeting rooms.
  • Keep an organised visitor log.
  • Coordinate incoming and outgoing courier packages.
  • Support with any additional administrative tasks assigned.

Experience, Education, and Skills:

  • Fluent in English and Arabic (mandatory).
  • Bachelor's degree in a relevant field.
  • Minimum 2 years of experience in a customer-facing role; Real Estate sector experience is an advantage.
  • Strong proficiency in Microsoft Office suite.
  • Strong reporting and organisation skills.
  • High attention to detail with the ability to multitask under pressure.
  • Flexible and adaptable to changing business needs.
