Job description

JOB PURPOSE:

Responsible for providing back-office leasing support services (back-end support NOT customer facing) and real estate portfolio management for all facility types: Land, Office, Warehouse, Accommodation, Retail

CORE RESPONSIBILITIES:

  • Complete all aspects of the back-end leasing function to ensure all of the proper data and documents are included into the Sales force and SAP system.
  • Prepare all leases for new sales and renewals to ensure all leases are prepared upon payment without any delay.
  • Update and maintain accurate contact details in the system to ensure accuracy in all client details.
  • Coordinate with other departments to finalize exceptional cases and amendments and ensure these cases are finalised within the designated timeframe.
  • Send renewal reminders to clients as well as follow up with them to ensure that all clients renew according to the designated timeframes.
  • Update all content related to the leasing function on external communication to ensure clients are updated with any policy changes.
  • Initiate different enhancements to ensure that more effective and efficient processes are constantly updated in order to meet all business requirements.
  • Initiate Take Over of Facility process by meeting all the requirements and coordinating with other departments within the designated timeframes in order to ensure all premises that are not renewed are available for leasing.

QUALIFICATIONS, EXPERIENCE, & SKILLS:

  • Bachelor’s degree in business or related field
  • Minimum 3-5 years of experience in Leasing or / Portfolio Management or / Business Administration / or property management / real estate administration / or similar fields
  • Fluent in English and Arabic (preferable)
  • Evidence of the ability to establish and maintain strong relationships.
  • Highly developed interpersonal and communication skills
  • Proficiency in MS Office packages, Powerpoint and Excel
  • Knowledge of SAP and Sales Force is preferable, or Knowledge of ERP/CRM systems or lease management software is a plus
  • Strong knowledge and understanding of Leasing, Tenants relations, Portfolio Management, Process Enhancements
  • Familiarity with leasing processes, contracts, and compliance requirements
  • Basic understanding of accounting principles (rent, deposits, invoicing).
  • Competence in preparing reports and dashboards for leasing activities.
  • Familiarity with document management systems and digital filing
  • Attention to detail in reviewing contracts and documentation.
  • Strong organizational skills with the ability to prioritize tasks
  • Problem-solving attitude with adaptability in a fast-paced environment
  • Drafting, reviewing, and processing lease agreements and amendments.
  • Coordinating between leasing managers, clients, and internal departments.
