Responsibilities may include the following and other duties may be assigned.

  • General Administrative Support: Preparing, formatting, and filing document; Assisting with expense reports; Coordinating with vendors and internal departments; Greeting and guiding visitor; Providing additional support as directed by the Senior Executive Assistant.

  • Communication Management: Acting as a liaison between customers and the team, managing information flow and internal communication; Supporting seamless communication within the leadership team.

  • Meeting and Reporting Support: Assisting in the preparation of presentations for meetings; Handling pre- and post-meeting follow-ups, including notes and action items; Organizing external meetings with vendors, sellers, logistics partners, government departments, and trade bodies; Managing weekly and monthly reporting processes.

  • Collaboration and Coordination: Partnering with Business Support Coordinators to streamline administrative processes; Managing and tracking approvals across internal systems, such as Ariba, ReadSoft, eCATS, and Purchase Orders; Overseeing legal document signatures (e-signatures and wet signatures).

  • Travel Support:Organizing business travel arrangements, including visa applications, flight bookings (via Dnata agency), and providing detailed itineraries and booking confirmations.

Required Knowledge and Experience:

  • A minimum of a Baccalaureate degree.

  • At least 3 years of experience in an administrative role within a dynamic work environment.

  • Excellent verbal and written communication skills, with fluency in English.

  • Strong attention to detail and organizational skills.

  • A proactive, “can-do” attitude with high energy and enthusiasm for fast-paced environments.

  • Flexibility to adapt to varying working hours.

  • High agility and the ability to handle multiple tasks efficiently.
