Executive Assistant - Your future position

As an Executive Assistant, you will perform administrative tasks for a senior executive with a high degree of autonomy and a proactive, solution-oriented mindset.

You will report directly to the Regional Head of Consumer Products SAMEA and will be based in Dubai.

In this exciting role, your responsibilities will include:

  • Scheduling meetings for the Regional Head of Consumer Products SAMEA and interacting with stakeholders to ensure meetings are set up and followed up on.
  • Screening and prioritizing emails, phone calls, and other communications, responding on behalf of the Regional Head of Consumer Products SAMEA.
  • Scheduling and organizing meetings, including preparing agendas, coordinating logistics, and recording minutes, as well as communicating with participants.
  • Taking notes during meetings, preparing minutes, following up on action items, and ensuring completion.
  • Booking travel arrangements for the Regional Head of Consumer Products SAMEA.
  • Preparing travel expense reports and ensuring reimbursement.
  • Managing the agenda (vacation, travel time, etc.).
  • Scheduling global/regional meetings, taking minutes, and performing necessary follow-up.
  • Exercising discretion in all activities and circumstances.
  • Assisting in the planning of special projects and initiatives.

Your professional profile includes:

  • A degree in administration, business, or a relevant field is preferred but not required.
  • At least 5 years of experience in an administrative support role, preferably from larger organizations.
  • Experience supporting senior leaders.
  • Fluency in English.
  • Excellent communication skills.
  • Expertise in PowerPoint and sound knowledge of Excel.
  • Striving for superior customer experience.
  • Priority setting and a proactive mindset.
  • Ability to manage multiple inquiries simultaneously.
  • Passion for success and willingness to go the extra mile.
