The IT Administrative Coordinator combines administrative excellence with strong technical knowledge at IFZA. This position requires proficiency in IT systems and infrastructure while managing administrative processes. The ideal candidate should understand enterprise IT architecture and possess strong organizational abilities to effectively coordinate IT resources and vendor relationships.
Main responsibilities
- Managing IT service contracts and SLAs
- Negotiating and reviewing vendor agreements
- Tracking contract renewals and ensuring compliance
- Processing IT invoices, quotations, and purchase orders
- Maintaining vendor performance records
- Managing IT assets, inventory, and stock levels
- Overseeing accurate IT asset tagging and disposal processes
- Coordinating with finance for budget tracking
- Developing and maintaining IT documentation and standard operating procedures (SOPs)
- Checking and reviewing incoming tickets and requests
- Categorizing incidents and requests based on impact and urgency following ITIL 4 best practices
- Assigning and distributing tickets based on service desk analyst availability and specialization
- Ensuring proper escalation to Tier 2 and Tier 3 support when needed
- Monitoring ticket progress to ensure SLAs are met and providing updates to stakeholders
- Facilitating coordination across different IT support tiers to ensure smooth service resolution
- Supporting problem management efforts by identifying recurring issues for root cause analysis
- Assisting with change coordination and communication to minimize disruptions
- Following up with Service Desk Analysts to ensure ticket records are properly handled, well-documented, and accurately formulated in accordance with service standards and compliance practices
- Perform other job-related tasks as assigned by the Service Desk Supervisor or IT Management
Requirements
- Strong understanding of ITIL 4 service management practices
- Contract and vendor management experience
- Comprehensive understanding of IT systems and service operations
- Proficiency in MS Office and enterprise software (e.g., ticketing systems)
- Full professional English proficiency
- Experience with IT asset tracking tools
- Ability to coordinate between multiple technical teams and end-users
- Strong documentation and reporting abilities
- Excellent negotiation and communication skills
- Additional language skills are a plus
- Bachelor's degree in Information Technology, or related field
- 3+ years of experience in IT coordination or service desk operations
- Proven experience in IT asset and inventory management
- Familiarity with IT ticketing tools (e.g. Zoho Desk, ManageEngine, ServiceNow)
- Demonstrated ability to work in fast-paced IT environments and multitask effectively
- Prior exposure to structured IT support models (Tier 1/2/3)
