The Move One Immigration Coordinator is a senior member of the immigration team and is the primary point of accountability for Move One's immigration clients in their assigned destination.
Responsibilities / Duties / Functions Tasks
- Collection of required data (answers to initial questions) and its verification, and further identification of the applicable full immigration procedure within 24hrs of receipt of documents or e-mail.
- Monitoring changes in the immigration legislation and reporting on new requirements / changes to all the interested parties (Immigration Team / Country Manager / Product Manager / Clients);
- Conducting bi-monthly staff meetings covering scheduling, training updates, and operational reminders, with all local Immigration staff, including phone meetings with any consultants in other cities;
- Ensuring that all services are invoiced within the shortest possible time (not later than 48hrs after the service is complete), in accordance with clients billing requirements;
- Creating regular - monthly reports (for invoiced services, new clients, service issues, staffing issues, feedback, other) for the Country Manager;
- Ensuring that Immigration staff complete any updated training programs by the assigned deadline;
- Collecting feedback on the vendors and reporting to the Country Manager of any service issues arising from those feedback reports;
- Collecting feedback from clients (Transferee, HR, RMC, other) and reporting it to the Country Manager and Key Account Manager, and recording it in V3;
- Meeting, as required, with representatives of the preferred vendors to ensure a positive working relationship;
- Ensuring that immigration templates, information in V3 and on Move One website is always up to date;
- Monitoring the holiday scheduling of Immigration staff to avoid staffing shortages;
- Assigning booked immigration services to an immigration Consultants;
- Immediately advising the client of any service related complaints, issues or challenges;
- Immediately notifying the Product Consultant, and Country Manager of any service issues or escalations brought to their attention by a client;
- Supporting the Immigration Consultants with guidance, advice, and training during the service;
- Monitoring the Immigration Consultants reporting in V3;
- Supporting local business development staff by attending meetings with potential clients as required;
- Creating and submitting operational reports and updates as required by the Country Manager, Key Account Manager, and Product Manager;
- Participating in bi-annual performance reviews of local Immigration staff;
- Participating in bi-annual Management Review meetings for their destination;
- Responding to client requests for rates or immigration information on the day received (within 24 hours the latest);
- Completing any client forms related to the service;
- Tracking upcoming expiration dates in viaRELO and notifying the appropriate contact (local HR, Lead Consultant, or HQ Regional Coordinator) of any expiration date notices;
- Recording vital service related information in viaRELO, and monitoring data entered by Consultants (comments, statuses, time-tracker, costs, other fields, and closing jobs;
- Updating client specific information based on client alignment;
- Representing Move One at expat events in their location as needed;
- Work effectively as a team contributor on all assignments;
- Interact professionally with other employees, customers and suppliers;
- Work independently while understanding the necessity for communicating and coordinating work efforts with other employees and organizations;
Perform quality work within deadlines with or without direct supervision;
Skills
- University degree or equivalent
- Service industry work experience
- Knowledge of local immigration / labor regulation is preferable
- English language - advanced level
