JOB SCOPE

Responsible to oversee the daily operation of the Company including supervise administrative personnel, maintenance of office equipment and facilities, manage company’s apartment, staff business travel ticket and accommodation arrangement and take control of staff card and airport permit issue and responsible for working with the Human Resources department within the scope of work under general supervision, provides support in functional areas of the human resources department and acts as a primary gatekeeper of the HR department within the EMEA region (Europe, Middle East, and Africa).

Job Responsibilities

  • Supervise clerical and administrative personnel, including administration officer, office attendant and to oversee the daily operations of the Company.
  • Be responsible for staff business travelling arrangement, including but not limited to flight tickets, accommodation, travel visa and travel insurance.
  • Manage and maintain Company apartments to ensure that they are always in good condition.
  • Organize annual meetings to ensure effective information flow.
  • Managing and overseeing daily operations of the Concept - payroll, leave management and benefits administration.
  • Managing end to end recruitment process.
  • Arrangement and take control of staff card and airport permit.
  • Resolving day to day operational queries from the employees and directing the same to shared services as appropriate.
  • Coordinate submission of monthly time & attendance records for office and operation employees.
  • Manage employee recognition, reward & engagement activities in accordance with company policies.
  • Managing payroll additions and deductions in coordination with the payroll team.
  • Administer the exit process for all voluntary and involuntary exits, including conducting exit interviews.
  • Receive employee complaints, suggestions and queries and make sure they have been handled appropriately.
  • Assist with the onboarding process of new joiners including training with other departments, arranging accesses, preparing documents and devices.
  • Maintain an up-to-date computerized database of all employees.
  • Preparation of monthly HR reports and dashboards.
  • Assist the Human Resources Leader in the preparation of periodic reports as required.
  • Coordinate with all departments with regards to Human Resources related activities.
  • Assist in planning, organizing, and implementing various engagement activities.
  • Responsible for the monthly preparation of birthday cards and birthday posters.
  • Ensure HR Processes, Policies & Systems are followed in any activity carried out.
  • Handling the performance management cycle process from start to end and monitor timely and accurate completion of the appraisals.
  • Liaising with stakeholders and other HR teams.
  • Any other duties as may reasonably be requested by the HR Manager/ HR Director.

Job Requirements

  • Degree holder or above in Business Administration, Human Resources related disciplines.
  • Minimum 3 years of relevant work experience.
  • Business-oriented, result driven and attention to details.
  • Excellent interpersonal, communication and presentation skills with an analytical and problem-solving mindset.
  • Independent, a self-motivated team player, with strong sense of responsibility.
  • Good leadership skills with the ability to handle multiple tasks and deliver good quality of work.
  • Computer literacy in MS applications.
  • Good command in written and spoken English.
