A leading company in the FMCG sector in Dubai is seeking an experienced HR Executive to provide operational and administrative support across key HR functions. The ideal candidate will have 4–6 years of HR experience in the UAE, with strong skills in coordination, onboarding, and compliance with labor laws. You will be responsible for recruitment, payroll inputs, visa processing, and employee insurance administration. Competitive compensation is offered.

Qualifications

Job description

Position Summary:

The HR Executive will be responsible for providing operational and administrative support across key human resource functions, with a primary focus on recruitment coordination, onboarding/offboarding, payroll inputs, attendance management, visa processing through GDRFA, employee insurance administration, and training logistics. This role is heavily system- and process-oriented, requiring high attention to detail, timely coordination with internal departments, and strong HR administration skills, especially in a fast-paced FMCG/F&B environment.

Key Responsibilities:

1. Recruitment & Onboarding Support:

  • Perform initial screening of CVs and candidates based on job requirements.
  • Schedule and coordinate interviews with hiring managers and candidates.
  • Prepare and issue offer letters, job descriptions, and joining instructions.
  • Facilitate employee onboarding, document verification, and induction.
  • Maintain recruitment tracker and candidate database.

2. Offboarding & Exit Formalities:

  • Coordinate end-to-end offboarding processes: notice tracking, final settlements, and exit interviews.
  • Ensure exit documentation is completed and system records are updated.
  • Liaise with IT/Operations for access deactivation and clearance forms.

3. Attendance & Payroll Inputs:

  • Collate and validate attendance, overtime, and leave data from biometric or attendance system.
  • Share accurate monthly payroll inputs with the Finance team as per timelines.
  • Monitor absenteeism and leave balances and prepare related MIS reports.

4. Visa & Immigration Coordination (GDRFA):

  • Coordinate with PRO and manage employee visa applications, renewals, cancellations via GDRFA portal.
  • Ensure timely medical tests, Emirates ID processing, and visa stamping.
  • Maintain visa expiry reports and ensure compliance with UAE labor and immigration laws.

5. Ticketing & Travel Support:

  • Handle employee travel bookings (annual leave, business travel, onboarding, and repatriation).
  • Coordinate with travel agents and ensure adherence to company travel policies.

6. Employee Insurance Administration:

  • Add/delete employees in the company medical and workmen’s compensation insurance.
  • Track policy expiries and coordinate renewals with insurance providers.
  • Assist employees with claims and coordinate with TPA/insurers.

7. Training & Development Coordination:

  • Schedule training programs based on the annual calendar or ad-hoc department needs.
  • Coordinate with trainers and attendees; manage attendance and feedback records.
  • Maintain training records and certificates in employee files.

8. HR Documentation & System Updates:

  • Maintain accurate and up-to-date employee records in the HR system and physical files.
  • Ensure documentation of HR activities, forms, approvals, and employee correspondences.
  • Generate reports and support HR audits as needed.

9. Finance Coordination:

  • Ensure timely submission of all payroll, final settlement, and HR-related cost inputs.
  • Coordinate with the Finance team on employee reimbursements, advances, and other payouts.

Qualifications & Experience:

  • Bachelor’s degree in Human Resources, Business Administration, or related field.
  • 4–6 years of relevant HR experience in the UAE, preferably in FMCG / F&B / Manufacturing sectors.
  • Familiarity with UAE labor law, visa processing (GDRFA), and payroll coordination.
  • Experience in HR administration, insurance, and documentation.
