Overview of the role
The role holder is accountable for driving the on-boarding processes, recognition programme, well-being agenda, HR communication, HR Administration related to ad hoc tasks such as organization structure alignment in SAP, raising requisitions and supporting the Head of HR in related projects and initiatives.
What you will do
- Responsible for ensuring smooth process of arrival and integration of new joiners within AFET business, settling in of new employees within AFET by liaising with the HRBP to coordinate a valuable orientation programme, as well as assessing their needs in terms of office and system requirements, and planning and deploying the necessary resources to best meet those needs with the objective of ensuring that they have the necessary support to meet their requirements.
- Follow up with the Line Managers to ensure a structured orientation programme is developed prior to the employee joining in coordination with the Line Managers.
- Liaise with UAE TA Partner to book candidates for Technical Assessments and interviews based on LM and HRBP availability.
- Meet and greet Technical Assessment Candidates and explain the process. Liaise with Line Managers to obtain Technical Assessment documents and scoring sheets.
- Responsible for HR communication not limited to new joinee announcements, covid guidelines, HR updates, well-being and employee engagement communication or any other HR related communications from AFET HR Mailbox.
- Provide any other support such as development of organisation charts, attending interviews for junior roles, compiling overtime sheets, organising HR events, etc. as may be required as an integral part of HR responsibilities.
- Roll-out the new revamped recognition programme in the business across all regions. Responsible for sending out nominations for all categories based on timelines and compiling nominations received for each category. Organise relevant judging panels and necessary documentation for each panel. Organize the awarding ceremony for each category including briefing documents and presentation.
- Maintain a tracker of nominations received and winners for each category. Organise award vouchers for the winners and arrange for distribution.
- Responsible to cascade the well-being agenda to UAE business and organise regular meetings with the well-being champions.
- Ensure activities are implemented in a timely manner as per the well-being agenda. Assist HRBPs in maintaining real-time organization charts for different functions/projects.
- Collect and compile data for headcount forecasts and manpower budgeting. Validate position data, designations, cost centers, and reporting lines.
- Act as point-of-contact for blue-collar staff grievances at sites. Log, investigate, and resolve employee complaints professionally and confidentially. Ensure awareness of HR policies among staff through communication and posters. Escalate severe issues to HRBP/Legal/Management as needed.
- To ensure signed ECs (employment contracts) are shared with outsourced company for salary processing.
- Attend and resolve any salary disputes (coordination between employees & outsourced company). To monitor and coordinate end to end employee offer process. To monitor and ensure accommodation standby/idle status.
- Work closely with the Divisional Manager’s team to support day to day operations. Ensure payroll activities are coordinated in a timely manner, so that employees receive salaries on time.

What equips you for the role
- Bachelors degree in HR or related field.
- Minimum 5 years of experience in administrative function of a large sized company with some exposure to HR, and basic level supervisory skills essential to perform the job effectively.
- Must have handled large sized company, which is into construction, MEP, Engineering, Outsourcing or Facilities Management.
- Must have handled mobilization/demobilization of project sites, large employee movements, outsourced employees etc.
