Job Overview
Sharaf DG is hiring an HR Executive to support recruitment coordination, employee onboarding, and document control functions. This role plays a vital part in ensuring smooth new hire processing and maintaining high audit compliance through accurate and timely management of employee personal files.

Job Overview
The HR Executive will act as a central point of coordination for recruitment logistics, onboarding formalities, and physical employee file management. This includes close collaboration with internal departments, high-volume document handling, and consistent adherence to HR policies and audit standards.

Key Responsibilities

Recruitment Coordination

* Schedule and coordinate interviews, print materials, and manage follow-ups with shortlisted candidates within one working day
* Ensure timely communication with hiring teams and candidates to confirm attendance and joining status

Onboarding Support

* Prepare offer letters, ATA forms, and initiate visa applications for new hires
* Support onboarding activities for both Sharaf DG and Sharaf Electronics
* Ensure a seamless experience for new joiners across departments

Document Handling & Interdepartmental Coordination

* Photocopy and organize passports, visas, academic certificates, and joining documents within one working day
* Submit documentation to Payroll, Medical, and Insurance teams promptly

HR Process Compliance

* Ensure all assigned tasks are completed in accordance with HR SOPs and within set timelines
* Participate in monthly internal audits and ensure high compliance scoring

Employee File Management (Hard Copy)

* Create and maintain hardcopy personal files for all active and inactive employees
* Open physical files for new hires within two working days of joining
* Track the movement of files using a manual or digital logbook system
* Ensure files are organized, up-to-date, and audit-ready at all times

Key Performance Indicators (KPIs)

* Timely completion of all onboarding logistics and recruitment coordination tasks
* Zero-delay in document handovers to internal stakeholders
* Accuracy in file creation, maintenance, and retrieval logs
* Audit score compliance and readiness of personal file documentation

Requirements

Education

* Bachelor s degree in Human Resources, Business Administration, or related field

Experience

* 1 2 years in HR operations, onboarding, or recruitment support
* Prior experience in employee file management or document control is advantageous

Skills & Competencies

* Excellent time management and organizational skills
* Meticulous attention to detail and accuracy
* Ability to handle confidential information with integrity
* Strong communication and coordination skills
* Proficient in Microsoft Office and basic office equipment (scanners, printers, copiers)
