Job Overview
The Coordinator is responsible for handling employee onboarding, offboarding, documentation, insurance, and compliance-related activities. The role ensures smooth HR operations, accurate record keeping, and alignment with school and regulatory requirements (KHDA, MOHRE, etc.).
Key Responsibilities
- Manage the onboarding and offboarding process for new and existing staff (collect documents, prepare employment contracts, book flights, and arrange accommodation).
- Oversee visa and immigration process and renewals for employees and dependents.
- Ensure timely renewal of staff contracts.
- Manage advertising, shortlisting, interviewing, and onboarding of academic, admin, and support staff.
- Assist with recruitment of academic, administrative, and support staff, ensuring reference checks are completed before the employee joins, and ensuring adherence to the school’s safer recruitment policy.
- Collect and verify staff information for the Single Central Register (SCR).
- Support in exit formalities (clearance forms, cancellation of visas, end-of-service benefits).
- Maintain accurate and updated personnel files, employment contracts, and staff records, and ensure all documentation is complete and up to date.
- Ensure accurate entry and regular updating of staff data in the HRMS system.
- Ensure confidential handling of employee data in compliance with protection standards.
- Handle KHDA approval for teachers and ensure all mandatory requirements are met, and ensure HR processes comply with KHDA and UAE labour law requirements.
- Ensure that all staff have an up-to-date job description, aligned with school policies and KHDA requirements, and that they acknowledge receipt and understanding of it.
- Ensure accuracy of HR data and compliance with safeguarding requirements.
- Coordinate and deliver training for staff on safeguarding and child protection, ensuring full understanding and compliance.
- Prepare and issue letters (salary certificates, experience letters, NOCs, etc.).
- Maintain confidentiality and data protection standards in all HR processes.
- Liaise with PRO/government relations officer for visa, work permit, and residency renewals.
- Assist with HR events and employee engagement initiatives.
Qualifications & Skills
- Bachelor’s degree in Human Resources, Business Administration, or related field.
- Minimum 3-5 years of HR experience (preferably in a school or education sector).
- Strong knowledge of UAE labor law and compliance.
- Excellent organizational and administrative skills.
- Strong communication and interpersonal skills.
- Ability to manage multiple tasks with attention to detail.
