Job description

JOB DESCRIPTION

Responsible for providing administrative support to the Health Information Management Department, specifically supporting the HIM Officer in daily operations related to various functions such as filing, retrieval, release of information, and chart analysis. Also responsible for delivering excellent customer service, processing actions, and performing daily tasks within the department. Performs clerical duties including maintaining patient medical records, arranging contents, filing, retrieving, distributing, and data entry of requests in the HIS.

RESPONSIBILITIES

  1. Receives and files inpatient discharged medical records.
  2. Cross-checks records with dispatch logbook and applies guidelines for releasing patient information.
  3. Handles daily operations in the filing and retrieval section.
  4. Assists with other relevant tasks as assigned.
  5. Secures the filing room from unauthorized access.
  6. Discusses with officers before recommending solutions.
  7. Extracts data from Cerner and tabulates it onto templates.
  8. Performs accuracy and quality checks on data and contacts data resources for inconsistencies.
  9. Prepares daily, monthly, and annual reports.
  10. Maintains and promotes health information management practices.
  11. Works cooperatively with clinical and non-clinical staff to ensure data integrity.
  12. Utilizes computerized applications.
  13. Orders and restocks office supplies.
  14. Photocopies documents as needed.
  15. Maintains records of daily work activities.
  16. Reports IT-related issues to support desk and follows up.
  17. Assumes responsibilities of the HIM officer in their absence.
  18. Maintains effective filing systems to prevent errors or missing records.
  19. Ensures medical records are tidy and properly assembled.
  20. Creates and maintains larger record volumes in the HIS.
  21. Purges inactive records and maintains their details in the HIS.
  22. Tracks incoming medical records from clinics and departments in the HIS.
  23. Generates daily lists of pending records and follows up.
  24. Receives and files external reports and correspondence.
  25. Provides medical records for various clinical and administrative purposes.
  26. Copies and prints medical records as directed.
  27. Ensures active Encounter availability before processing PIRs.
  28. Sorts and files loose sheets received from clinics and nursing stations.
  29. Tracks all medical record movements using the HIM Chart Tracking Module.
  30. Runs daily reconciliation reports and follows up on pending records.
  31. Informs supervisors of missing records.
  32. Maintains confidentiality of patient information according to policy.
  33. Sorts, scans, uploads, and validates received documents.
  34. Ensures patient confidentiality while handling health information.

Accountabilities

QUALIFICATIONS

Experience:

  • Required: 1-2 years of relevant experience.
  • Desired: Experience in a large healthcare facility.

Educational Qualification:

  • Required: Diploma in Health Information Management or equivalent.
  • Desired: Bachelor’s Degree in Health Information Management or equivalent.
