Job Description : Head of Finance & Administration

Reporting To : Managing Director / CEO

Location : Dubai, UAE

Industry : Marine & Oilfield Equipment Trading

Role Summary :

The Head of Finance & Administration will oversee all financial planning, reporting, compliance, and administrative functions of the company. This position ensures financial discipline, regulatory adherence, cost control, and operational support to enable sustainable growth and sound business decisions.

Key Responsibilities :

  • Lead budgeting, forecasting, and financial planning activities aligned with strategic goals.
  • Monitor cash flow, working capital, and liquidity to ensure operational continuity.
  • Oversee the preparation of monthly / quarterly management accounts and annual financial statements.
  • Analyze financial performance, cost structures, and profitability to support decision-making.
  • Manage banking relationships and ensure optimal utilization of credit facilities, LCs, and FX hedging.
  • Ensure timely VAT filing, corporate tax compliance, and audit coordination (internal / external).

2.Accounts & Controls

  • Supervise accounts receivable / payable, general ledger, and reconciliation processes.
  • Enforce financial controls, approvals, and company-wide expense management.
  • Implement ERP-based finance modules and reporting dashboards for real-time financial visibility.
  • Review pricing, margins, and commercial terms in collaboration with the sales and procurement teams.

Administration & HR Oversight

  • Oversee administrative functions including office operations, documentation control, renewals, and licensing.
  • Ensure compliance with UAE labor laws, visa processing, and payroll.
  • Supervise employee onboarding / offboarding, benefits administration, and leave management.
  • Review service contracts, insurance policies, and facility management agreements.
  • Support internal communication, corporate governance, and business continuity planning.

Strategic Involvement

  • Advise the management on cost optimization, capital investment, and risk mitigation.
  • Participate in strategic reviews, business expansion plans, and inter-company transactions.
  • Develop SOPs and policy manuals for finance and administration departments.

Requirements :

1.Education & Experience

  • Bachelor’s Degree in Accounting, Finance, or Business Administration; CA / CPA / CMA or MBA preferred.
  • 10+ years of progressive finance and admin experience, preferably in trading, marine, or oilfield services.
  • Hands-on experience with ERP / Accounting platforms (Tally, Zoho Books, SAP, QuickBooks, etc.).

2.Key Skills & Attributes

  • Strong financial acumen and risk management abilities.
  • In-depth knowledge of UAE taxation, banking, and commercial law.
  • Proven team leadership and cross-functional collaboration.
  • Excellent communication and report-writing skills.
  • Ability to multitask, prioritize, and meet deadlines under pressure.
