Job description

Responsible for supervising periodic maintenance work, coordinating and providing support to maintenance service providers in accordance with the policies, procedures and business continuity plans developed in this regard and managing the Academy's facilities and classrooms. In addition to setting standards and policies for corporate health and safety and supervising their application. He is also responsible for overseeing all public services including archives, cleaning, security and safety, hospitality services and related contract management at all Academy sites.

Requirements

  1. Setting the objectives, initiatives and operational plans of the Facilities and Public Services Department and performance indicators and working to measure and follow them up continuously.
  2. Contribute to achieving the main objectives of the Facilities and General Services Department and directing the team towards achieving its objectives and improving the level of services it provides in terms of quality, accuracy and effectiveness.
  3. Participate in the development of processes and procedures followed in the Facilities and General Services Department and ensure that all policies, procedures and work systems followed are documented and adhered to.
  4. Monitor the performance of the Facilities and General Services Section against the previously established performance targets to ensure that the work is moving towards the desired direction and that corrective and preventive actions have been taken as required.
  5. Participate in the preparation of the annual budget of the General Facilities and Services Section with the line manager, monitor it and ensure compliance with it.
  6. Identify the needs of the Facilities and General Services Department of competencies and talents and recommend human resources decisions such as bonuses, appointments, promotions and transfers of the department's employees.
  7. Follow up and evaluate the performance of subordinates, determine their training needs, recommend the necessary training courses, and participate in monitoring the effectiveness and results of these courses.
  8. Hold periodic meetings with subordinates to review the progress of work and progress achieved, discuss subordinates' suggestions and take appropriate action accordingly.
  9. Prepare periodic reports on the activities and achievements of the department and submit them to the direct supervisor.
  10. Approving requests related to subordinates' affairs such as: vacations, departures, etc.
  11. Nominate his/her deputy to carry out the duties and responsibilities of the job position in case of absence where necessary.

Executive tasks (daily tasks)

  1. Oversee the development and updating of policies, procedures and standards of the Facilities and General Services Department, ensuring that they are in line with local laws and leading best practices and that all Academy staff adhere to approved policies and procedures.
  2. Provide recommendation and advice to the Academic Affairs Sector, directors of organizational units and other Academy staff on any matters related to the policies and procedures of the Facilities and General Services Section.
  3. Supervise all projects and programs of the affiliated departments of Facilities Management and Public Services and Corporate Health and Safety, and ensure their implementation and harmony with the strategic objectives of the General Services and Procurement Department in particular and the Academy in general.
  4. Supervise the process of setting standards, principles and methodologies for the study, evaluation and selection of suppliers and service providers and ensure their application.
  5. Follow up the progress of contracts and agreements with other government agencies, external entities and companies, and private institutions, and coordinate with other organizational units concerned with these contracts and agreements to ensure the progress of work according to the contracts concluded.
  6. Ensure that facilities management, administrative, maintenance, cleaning, hospitality, protection and security services are provided in accordance with approved policies and procedures.
  7. Ensure that all the Academy's needs of administrative and general supplies and services, maintenance, cleaning and hospitality services are provided to all Academy facilities and departments.
  8. Ensuring protection and security and organizing the transfer of incoming and outgoing correspondence to and from the Academy, in addition to the general supervision of the coordination of all matters of residence permits and work visas for employees.
  9. General supervision of the application of institutional health and safety standards in the Academy building and facilities and the results of periodic evaluation.
  10. Support in negotiations with service providers (cleaning, hospitality, catering, security, travel agencies, etc.) for preferential rates.
  11. Providing support to maintenance service suppliers in line with policies, procedures and business continuity plans in this regard.
  12. Develop and implement business continuity plans to ensure uninterrupted operations in case of emergency.
  13. Perform any other related tasks or responsibilities as required by the need of the work and assigned by the direct supervisor.
