Job Description
How does your working day look like …
- Receive and respond to all group and event enquiries (Rooms and F&B) in a timely and professional manner.
- Qualify leads by assessing client requirements, budget, and potential.
- Maintain detailed records of all enquiries using the relevant CRM or event management system.
- Prepare tailored proposals and pricing based on client needs and hotel standards.
- Conduct site inspections and presentations to convert leads into confirmed bookings.
- Prepare and issue contracts, ensuring terms and conditions are clearly communicated and agreed upon.
- Follow up with clients to secure confirmation and deposits within required timeframes.
- Act as the main point of contact for the client from confirmation to execution.
- Gather all necessary event details and input into the BEO (Banquet Event Order) system.
- Coordinate with relevant departments (kitchen, service, AV, housekeeping, etc.) to ensure all aspects of the event are aligned with client expectations.
- Organise pre-event meetings (internal and/or with the client) as needed.
Provide on-site support on the day(s) of the event to ensure smooth delivery. - Liaise with the client during the event and resolve any issues promptly.
- Conduct post-event follow-up and collect feedback.
- Ensure all relevant systems are updated with accurate information (blocking space, updating forecasts, generating reports).
- Achieve individual and team sales targets (conversion rates, revenue, upsell).
- Support invoicing and payment follow-up in collaboration with finance.
Qualifications
Your personality counts more than your CV …
- Experience in hotel sales, event planning, or reservations (1–2 years preferred).
- Strong organisational and time-management skills.
- Excellent communication and interpersonal abilities.
- High level of accuracy and attention to detail.
- Proficiency in MS Office and hotel systems (Opera, Delphi, or similar).
- Flexibility to work evenings/weekends when required for events.
- A team player with a proactive and service-minded attitude.
