Job Description

The Groups & Events Coordinator supports the sales and planning process for group bookings, conferences, meetings, and events. The role involves coordinating between clients, internal departments, and vendors to ensure seamless execution and exceptional guest experiences. The ideal candidate is detail-oriented, customer-focused, and thrives in a dynamic hospitality environment.

  1. Coordinate and manage group and event inquiries from initial contact to post-event follow-up.
  2. Prepare and issue proposals, contracts, event orders, and rooming lists.
  3. Maintain accurate records of group and event details in property management and sales systems.
  4. Work closely with operations, catering, and front office teams to ensure all requirements are communicated and executed effectively.
  5. Assist with site inspections and client walkthroughs.
  6. Handle administrative tasks including filing, updating reports, and maintaining client communication records.
  7. Ensure all events meet brand standards and customer expectations.
  8. Provide timely and professional responses to client inquiries and requests.
  9. Support the Events & Sales team during peak periods.

Qualifications

  • At least 1-2 years of sales experience in a 5-star/luxury hotel with a focus on groups & events.
  • Bachelor’s Degree in a related field.
  • Confident communication skills; excellent written and verbal English is essential.
  • Second language preferred but not mandatory.
  • Strong analytical skills; ability to work well under pressure and manage multiple demands effectively.
  • Excellent computer skills (Microsoft Word, Excel, Outlook, Internet, email).
  • Positive attitude with strong interpersonal and team-building skills.
  • Ability to influence and negotiate effectively.

Additional Information

Relocation to a remote area may be required.
