Job description

As a Groups, Conference and Events Executive, you will manage events occurring in the hotel, from initial contact with the event organizer to contract preparation, until the event concludes. Your responsibilities will include:

  • Receiving groups and events and maintaining up-to-date hotel records
  • Drafting contracts for groups and events
  • Entering Rooming Lists into the system, updating payment instructions, and recording relevant information
  • Negotiating budgets with clients
  • Developing event Work Orders in the system with all relevant details
  • Conducting informational sessions with clients regarding event details (number of attendees, category, pricing, payment methods, contacts, special notes, etc.)
  • Preparing monthly reports on groups and updating closing information
  • Collaborating continuously with Account Managers, Sales Coordinators, Reservations, Front Desk, Event Departments, Hilton Meetings, and Kitchen
  • Engaging directly with guests or clients during group and event stays
  • Participating in special activities such as cocktail receptions and welcome tours
  • Ensuring all client requests are addressed efficiently and promptly
