Job description

We are seeking a motivated and impeccably organised General Manager's Assistant to join our Fulfillment Center, working closely with the site’s General Manager.

About Amazon's Fulfillment Centers: The Operations teams manage our vast range of fast-moving inventory from Inbound to Outbound departments. They strive to ensure our customers receive their orders promptly while continuously improving processes and workflows.

Role Overview: This role offers a variety of interactions daily. You will coordinate engagement events across the site and manage the associated annual budget. You will have the opportunity to bring creative ideas and initiatives to life, working with our operations teams to enhance communication within the Fulfillment Center. Your focus will be on delivering the highest quality service to internal and external customers.

Key Responsibilities:
  1. Plan, coordinate, and organize onsite employee engagement events, managing budgets and deadlines throughout the year.
  2. Manage communication channels across the Fulfillment Center, including newsletters, message boards, and feedback channels.
  3. Act as the site Charity Champion, coordinating community engagement and managing the charity budget in collaboration with central teams.
  4. Manage network recognition programs onsite, encouraging participation among leadership and associates.
  5. Oversee the direction and coordination of leadership travel and administration, including diary management, meeting notes, and action follow-ups on behalf of the General Manager.
  6. Collaborate with support staff to secure resources for projects and initiatives.
  7. Welcome and coordinate visitors on behalf of the General Manager and leadership team.
  8. Perform diary management, arrange travel, and organize conference calls.
  9. Handle clerical duties, including filing, responding to emails, and preparing documents and presentations.
  10. Create agendas, take meeting notes, and assist with content creation as needed.

Work Schedule & Additional Requirements: The typical work schedule is Monday through Friday, with potential for additional hours and occasional travel between sites. Flexibility is required.

Qualifications & Skills:

  • Proven experience in similar responsibilities as described above.
  • Ability to prioritize and manage multiple assignments effectively.
  • Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel).
  • Attention to detail and problem-solving skills.
  • Excellent command of the English language.
  • Experience in large-scale, process-driven environments is beneficial.
  • Degree-level qualification or equivalent.
