We are seeking a highly organized and professional Front Desk Receptionist to join our team. As the first point of contact for our organization, you will play a crucial role in providing excellent customer service and ensuring the smooth operation of our front desk activities. You will be responsible for managing incoming calls, welcoming visitors, handling inquiries, and assisting with various administrative tasks. The ideal candidate will be enthusiastic, confident, and possess excellent communication skills. As a Front Desk Receptionist, you will contribute to creating a positive first impression of our company, enhancing our customer experience, and supporting other departments in fulfilling their duties.

Responsibilities

  • Greet and welcome visitors with a positive, helpful attitude promptly.
  • Assist clients and customers by providing accurate and relevant information.
  • Manage incoming and outgoing telephone calls with professionalism and efficiency.
  • Maintain the reception area, ensuring it is tidy and presentable at all times.
  • Receive, sort, and distribute daily mail, deliveries, and courier packages.
  • Coordinate front-desk logistics, including workspace bookings and visitor log management.
  • Handle inquiries and questions, directing them to appropriate personnel when necessary.
  • Provide administrative support, including document preparation and data entry as needed.
  • Schedule and confirm appointments, meetings, and maintain calendars for executives.
  • Assist in preparing meeting materials and setting up rooms as necessary.
  • Implement security protocols by controlling access to secured areas and facilities.
  • Perform other general office duties such as ordering supplies and reporting maintenance needs.

Requirements

  • High school diploma or equivalent; relevant experience is a plus.
  • Strong proficiency in MS Office, including Word, Excel, and Outlook.
  • Previous experience in a receptionist or customer service role preferred.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Ability to manage a multi-line phone system and offer accurate information.
  • Strong organizational skills and multitasking abilities for managing front desk operations.
