Freight Forwarding Operations Coordinator

As we build our Dubai operations from the ground up, we are looking for ambitious, experienced, and driven professionals ready to make a meaningful impact from day one.

We are currently seeking an Operations Coordinator – Freight Forwarding to play a vital role in supporting the Freight Forwarding Manager and ensuring smooth and efficient execution of all freight forwarding activities. This is a high-responsibility role ideal for someone with a solid background in freight forwarding operations, a strong client portfolio, and a hands-on approach to problem-solving.

Key Responsibilities:

1. Coordinate daily import/export freight forwarding operations (air, sea, and land) ensuring timely and accurate processing of shipments.
2. Serve as the operational backbone for the Freight Forwarding Manager by managing documentation, bookings, and shipment tracking from origin to final delivery.
3. Develop and maintain strong relationships with carriers, agents, suppliers, and customers to ensure seamless logistics operations.
4. Ensure compliance with customs regulations, incoterms, and international trade requirements.
5. Prepare and manage all shipping documentation including B/Ls, AWBs, commercial invoices, and packing lists.
6. Actively contribute to the setup and structuring of the freight forwarding department and standard operating procedures (SOPs).
7. Provide operational insight and feedback to improve efficiency, reduce costs, and enhance service quality.
8. Manage client communication regarding shipment updates, exceptions, and service solutions.
9. Assist in developing pricing strategies and quotations in coordination with the Sales & Pricing Coordinator.
10. Support recruitment and onboarding of junior team members as the department grows.
11. Ensure data accuracy in shipment records, reports, and system updates.

Minimum Requirements:

1. Minimum 5 years of solid experience in freight forwarding operations, with proven knowledge across air, sea, and road freight.
2. Prior experience working in the UAE logistics industry with exposure to GCC customs and clearance procedures.
3. Strong client portfolio and existing network of contacts in the logistics and freight industry is highly desirable.
4. Excellent knowledge of international shipping documentation, customs procedures, and trade regulations.
5. Proficiency with logistics software, ERP systems, and shipment tracking platforms.
6. Strong problem-solving abilities, multitasking skills, and attention to detail.
7. Excellent verbal and written communication skills in English; Arabic and/or French is a plus.
8. A proactive, committed, and reliable team player ready to take initiative in a startup environment.
