Overview

The Food & Beverage Administrator is responsible for coordinating administrative tasks and projects within the Food & Beverage team, providing support while ensuring adherence to Hilton International policies and procedures.

What will I be doing?

  • Maintain excellent customer service, always keeping guests in mind.
  • Take personal responsibility and initiative to resolve issues, communicating clearly with guests and colleagues.
  • Be motivated and committed, approaching tasks with enthusiasm and seeking opportunities to learn and improve.
  • Respond flexibly and positively to changing requirements and tasks.
  • Support team cooperation and contribute ideas to enhance hotel operations and environmental procedures.
  • Promote the hotel's services and facilities to guests and suppliers.
  • Ensure safety in all duties performed.
  • Prepare daily function sheets and compile food & beverage activities for briefings.
  • Manage team members’ particulars, including inquiries about holidays, vacation days, and medical records.
  • Type and manage monthly attendance lists, overtime, transport allowances, and claims, obtaining necessary approvals.
  • Maintain personnel records with updated information.
  • Prepare productivity reports related to team strength, overtime, and extra labor.
  • Monitor weekly duty rosters and manage shift changes or leave notifications.
  • Write work orders for the Food & Beverage department and follow up on their completion.
  • Arrange department requisitions for office supplies, food, beverages, and stock items.
  • Draft and follow-up on official correspondence.
  • Attend F&B meetings, record attendance, and distribute minutes.
  • Handle inter-departmental requests and cake orders.
  • Coordinate employee discussions on progress reports and translate when necessary.
  • Check timecards for attendance, lateness, and leave reports.
  • Organize and maintain the filing system at the F&B office.
  • Perform any other duties as assigned.

What are we looking for?

The ideal candidate should demonstrate:

  • A university degree, college certificate, or vocational secretarial training.
  • 1-2 years of relevant experience.
  • Fluency in English, with good knowledge of F&B terminology.
  • Strong organizational, interpersonal, and communication skills.
  • Proficiency in word processing and spreadsheets.
  • Good translation skills and fast, accurate typing.
  • Experience in line operations management and labor-related tasks is preferred.
