We are excited to have partnered with a global logistics company as they look for a Facilities Manager to join their team.

The Facilities Manager will oversee the operations and maintenance of multiple warehouses located in the GCC. The ideal candidate will ensure that all facilities are safe, functional, and efficient, while optimizing the use of space and equipment to reduce operating costs.

Key Responsibilities:

  • Direct Reports: Supervise one direct report who assists in the warehouses.
  • Operational Oversight: Indirectly oversee warehouse managers who manage staff and operations in five warehouses across Saudi Arabia and UAE.
  • Policy Development: Develop and implement policies and procedures to ensure best practices in procurement and facilities management.
  • Vendor Management: Select, review, and manage vendors, ensuring competitive pricing and quality.
  • Facilities Management: Maintain and repair warehouse premises, including machinery, forklifts, and fleet.
  • Regional Coverage: Provide oversight and control of daily activities in Saudi warehouses, ensuring effective vendor selection and payment processes.
  • Department Development: Contribute to the development of a structured and efficient department, currently in its infancy.
  • Budget Management: Define and control the annual procurement and facilities budgets, ensuring cost efficiency and alignment with business targets.
  • KPIs: Establish and monitor key performance indicators for procurement savings, vendor performance, maintenance turnaround times, and SLA compliance.
  • Compliance: Ensure adherence to corporate procurement policies, ethical sourcing standards, and regulatory requirements in both UAE and KSA.
  • Audits: Coordinate with Finance/Compliance to prepare for and respond to internal and external audits relating to procurement and vendor activities.
  • Contract Management: Draft, negotiate, and manage service contracts, ensuring alignment with operational needs and risk mitigation.
  • SLA Oversight: Monitor compliance with agreed service level agreements (SLAs), particularly with critical vendors (e.g., MHE maintenance, fleet leasing, cleaning, HVAC).
  • CAPEX Projects: Support logistics and warehouse expansions, including new equipment acquisition, infrastructure upgrades, and facility design input.
  • Project Coordination: Act as procurement lead on cross-functional expansion or relocation projects, ensuring timely and cost-effective sourcing.
  • Systems & Automation: Recommend and support the implementation of procurement systems or tools (e.g., vendor portals, automated approvals, reporting dashboards).
  • IFF Compliance Oversight: Act as the key compliance liaison for the International Freight Forwarding division (Air, Sea, and Road), ensuring that procurement-related practices, vendor usage, and financial controls align with corporate standards and regulatory frameworks.
  • Policy Enforcement: Monitor and enforce the application of group procurement and compliance policies across all IFF verticals, working closely with Product Managers to ensure adherence without compromising operational autonomy.
  • Audit Support: Coordinate with Internal Audit, Legal, and Compliance departments to prepare and validate IFF-related procurement documentation, vendor approval trails, and commercial justifications.
  • Governance: Ensure that all IFF procurement activities, including rate filing, sub-contractor selection (e.g., trucking, customs clearance), and payment terms, are traceable, authorized, and documented according to group procedures.
  • Process Harmonization: Promote standardization of vendor engagement and compliance workflows across the Air, Sea, and Road departments, identifying gaps and recommending corrective measures when necessary.

Key Requirements:

  • Bachelor's degree
  • Proven experience as a Facilities Manager or in a similar role, preferably in a warehouse setting.
  • Strong knowledge of technical/engineering operations and facilities management best practices.
  • Excellent organizational and leadership skills.
  • Proficiency in budgeting and financial management.
  • Strong communication and interpersonal skills.
