Role Overview:
As an Export Document Controller, you will play a key role in managing all export
documentation processes, ensuring compliance with international trade regulations
and supporting the seamless flow of goods across borders. Your responsibilities will
span document creation, coordination with external stakeholders, shipment tracking,
and maintaining thorough records.

Roles & Responsibilities:
1. Preparation of Export Documentation:
• Generate and manage:
o Bills of Lading
o Commercial Invoices
o Packing Lists
o Certificates of Origin
o Export Licenses and Permits
o Customs Declarations
2. Regulatory Compliance:
• Ensure adherence to local and international export regulations.
• Classify goods correctly under Harmonized System (HS) codes.
3. Coordination with Stakeholders:
• Work closely with customs brokers, freight forwarders, and shipping companies.
• Submit required documents for customs clearance and shipping.
• Handover documents to port and shipping authorities for release of goods.
4. Shipment Tracking:

• Monitor export shipments to ensure documentation is in place at each stage.
• Collaborate with logistics teams to avoid delays in release and clearance.
5. Accuracy and Issue Resolution:
• Review documentation for errors or inconsistencies.
• Resolve documentation issues proactively to avoid clearance delays or
penalties.
6. Record Keeping:
• Maintain detailed records of all export documentation for auditing and
compliance.
• Ensure accessibility of records for inspections or future reference.
7. Customer Interaction:
• Coordinate with customers and suppliers for timely document provision.
• Provide shipment updates and handle any customer concerns regarding
documentation or delays.
