Summary:
This role will provide administrative support to the sales team by facilitating the coordination of sales activities, maintaining accurate records, managing communication between internal and external stakeholders, and assisting in contract and procurement processes, as needed.
The Role:
- Assist in the development and implementation of sales processes and procedures aligned with the overall company objectives.
- Maintain up-to-date records of all sales activities, reports, and contracts
- Ensure the CRM system is always updated and reflecting the most recent available units.
- Ensure that all sales agreements are properly documented and filed for future reference
- Prepare reports, presentations, and documents related to sales activities.
- Coordinate the snagging process of ready properties, ensuring any issues identified during inspections are communicated to the relevant teams for timely resolution.
- Liaise with project and quality control teams to schedule property handover dates.
- Communicate updates to the CRM department to ensure timely client notifications.
- Maintain records of all snagging and handover activities, ensuring that all necessary documentation is completed and filed
- Maintain and update the database for all clients and their source whether they were received from registered local and international agents.
- Validate commission claims in accordance with approved entitlements, ensuring it’s alignment with the BEYOND policy.
- Prepare comprehensive checklists for all valid commission claims, including all necessary supporting documents.
- Process agents’ commission payments accurately and efficiently.
- Calculate claw-backs and apply them to outstanding commissions, providing regular updates to the Finance department.
- Ensure all supporting documentation complies with BEYOND policies and procedures.
- Update the staff commissions file and close it after processing all claims and forward it to the Finance Department.
- Prepare reports on staff and agency performance, while monitoring ongoing sales offers to ensure compliance with sales standards.
Competencies:
- Minimum Required Education: Bachelors Degree / Intermediate institution.
- Average Years of Experience: 1 - 3 years of experience in sales admin operations
- Experience in Specific industry/ Role/ Region: Minimum 1 year of experience in the UAE. Real Estate Development experience is a plus
- Required Skills: Organization and multi-tasking, interpersonal skills, strong communication skills and proficiency in MS Office (Excel, Word, PowerPoint) , CRM Systems (Salesforce)
