The Executive Legal Secretary will work as part of a high-functioning team to deliver exceptional client service. The individual will provide high-level administrative support to senior attorneys and partners, requiring exceptional organizational skills, discretion, and a deep understanding of legal procedures and documentation. The role reports to the Head of Secretarial Services and acts as a key liaison between clients, legal professionals, and internal departments, ensuring seamless communication and efficient workflow.

Duties, Responsibilities & Person Specification

Provide general secretarial support to the lawyer, including:

  • Assist in preparing standard and complex legal documents such as Cayman Islands company formations, memoranda, articles of association, board minutes, resolutions, powers of attorney, structured finance documentation, fund documentation, legal opinions, share certificates, and register entries.
  • Manage filings with internal and external bodies.
  • Organize documents for Private and Mutual Fund entities for registration via the Government Portal.
  • Assist in fund termination processes, including drafting relevant documents, ensuring fees are paid, notices filed, and liaising with government bodies.
  • Liaise with the Registered Office regarding entity filings, service requests, and document management.
  • Undertake apostilling and legalization of corporate documents, advising clients on procedures, preparing notarizations, and liaising with authorities.
  • Support billing activities, including drafting narratives, collections, and liaising with clients and accounts.
  • Respond professionally and promptly to inquiries via phone and email.
  • Handle photocopying, scanning, and document management.
  • Manage diaries, schedule meetings, prepare agendas, and coordinate logistics.
  • Assist with account opening, closing, and archiving using InTapp.
  • Support and collaborate with team members, providing cover during absences.
  • Maintain accurate records and client files.
  • Liaise with clients as instructed and in line with firm policies.
  • Participate in special projects and perform additional duties as required, including outside normal hours.
Education, Skills & Experience
  • A recognized legal secretarial qualification.
  • At least 5 years of secretarial experience supporting senior professionals in a legal or professional services environment.
  • Strong understanding of legal terminology, procedures, and documentation.
  • Experience with legal practice and document management systems.
  • Proficiency in Microsoft Office applications.
  • Familiarity with billing software and CRM systems.
  • Exceptional organizational and time-management skills.
  • High discretion and professionalism.
  • Excellent client service, communication, and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Calm under pressure, proactive, flexible, and detail-oriented.
