Role Title: Executive Assistant (EA)

Department: Executive Office

Location: Dubai, UAE

Reports to: CEO


Position Overview

We are looking for a highly organized, proactive, and detail-oriented Executive Assistant (EA) to provide top-tier administrative support to the CEO. The ideal candidate will efficiently manage multiple executive tasks in a fast-paced environment, demonstrating exceptional communication, multitasking, and decision-making abilities. This role requires discretion, the ability to manage confidential information, and the capability to work independently while ensuring the CEO's schedule and priorities are effectively managed.


Key Responsibilities


Executive Support:
  1. Provide comprehensive administrative assistance to the CEO, managing their calendar, scheduling meetings, coordinating travel, and preparing necessary materials for meetings.
  2. Handle complex travel arrangements, including domestic and international flights, accommodations, and transportation.
  3. Ensure the CEO's schedule is optimized and aligned with key business priorities.

Communication Management:
  1. Serve as the primary liaison between the CEO and internal/external stakeholders, managing requests and ensuring timely, effective communication.
  2. Efficiently manage and prioritize the CEO's email inbox, filtering and responding on their behalf, drafting replies as needed, and ensuring urgent matters are addressed promptly.

Document Preparation:
  1. Draft, review, and edit correspondence, reports, presentations, and other key documents for the CEO to ensure clarity, professionalism, and accuracy.
  2. Assist in preparing materials for meetings, conferences, and events to ensure proper logistics and organization.

Meeting Coordination:
  1. Organize and coordinate meetings, events, and conferences for the CEO, including preparing agendas, managing logistics, and following up on action items.
  2. Prepare detailed meeting notes and follow-up action items to ensure timely execution.

Confidentiality:
  1. Exercise discretion and maintain confidentiality when handling sensitive business and personal matters related to the CEO.

Project Support:
  1. Assist the CEO with special projects, tracking progress, ensuring deadlines are met, and delivering results.
  2. Provide high-level assistance in monitoring business activities and helping prioritize key decisions and initiatives that align with the CEO's strategic goals.

Requirements


Hard Skills:
  1. Bachelor's degree in Business Administration, Management, or a related field (preferred).
  2. Minimum of 3 years of experience supporting senior executives in an Executive Assistant or similar role, ideally within a fast-paced corporate environment.
  3. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  4. Excellent written and verbal communication skills. Fluency in Arabic is Mandatory.
  5. Strong problem-solving and decision-making capabilities.
  6. High level of confidentiality and discretion.
  7. Ability to prioritize, manage multiple tasks, and work efficiently under pressure.
