Job description

Job Title: Executive Assistant to Group CEO

Location: NCC Holding, HQ Office, Kizad, Abu Dhabi – UAE.

Reporting To: Group Chief Executive Officer

Job Summary:

We are seeking a dynamic and highly organized Executive Assistant to support the Group CEO of a fast-paced, multi-sector organization operating in catering, hospitality, construction, and allied industries. The EA will act as a strategic partner and right hand to the Group CEO, providing executive-level administrative support, coordinating cross-functional projects, managing stakeholder communications, and ensuring smooth operations of the executive office.

Key Responsibilities:

Executive & Strategic Support

  • Manage the Group CEO’s complex calendar — internal meetings, site visits, board meetings, and industry events.
  • Prioritize and coordinate daily tasks and long-term commitments to ensure optimal time management.
  • Prepare reports, presentations, tender documentation, and briefing materials for executive meetings.
  • Support the Group CEO in tracking the progress of strategic projects across catering, hospitality, construction and other subsidiaries.

Liaison & Communication

  • Act as the primary point of contact between the Group CEO and internal departments (Operations, Finance, HR, Legal, Site Management).
  • Liaise with senior clients, partners, government officials, and board members professionally and efficiently.
  • Draft internal communications, client correspondence, and executive summaries with a focus on tone and confidentiality.

Meeting & Travel Coordination

  • Organize and prepare agendas for high-level meetings, taking minutes and ensuring action items are followed up.
  • Plan and manage travel itineraries, visas, and accommodation — including site visits across regions or countries.
  • Support event coordination for corporate events, ribbon cuttings, hospitality launches, etc.

Administrative Management

  • Manage confidential information and sensitive documents (contracts, MoUs, strategic plans).
  • Oversee the preparation of expense reports, approvals, and budget tracking related to the executive office.
  • Maintain organized digital and physical filing systems for executive documentation.

Required Qualifications:

  • Bachelor’s degree in business administration, Management, or related field
  • Minimum of 5+ years of EA experience, with at least 3 years supporting C-level executive (e.g., CEO, CFO, COO, etc.)
  • Industry experience in hospitality, catering, construction, or facilities management is highly preferred
  • Knowledge of operational structures, site-based businesses, and project-driven environments is an advantage
