Our client, a prestigious and internationally acclaimed luxury brand, is seeking a highly polished and proactive Executive Assistant to support the Regional General Manager in their Dubai office. As a trusted partner to the Regional GM, you will play a vital role in ensuring the efficiency and effectiveness of the regional leadership office. This is more than a support role—it's a chance to be a key enabler in a fast-paced, high-profile environment within the luxury sector.

Key Responsibilities

  • Executive Support: Provide seamless administrative and executive support to the Regional GM, ensuring smooth daily operations across a busy regional agenda.
  • Calendar & Diary Management: Handle complex calendar scheduling, ensuring optimal prioritisation of meetings, events, and travel across multiple time zones.
  • Travel Coordination: Organise detailed international and domestic travel itineraries, accommodations, and logistics with precision.
  • Meeting Preparation & Follow-Up: Prepare agendas, compile briefing documents, take minutes, and track follow-ups for internal and external meetings.
  • Stakeholder Liaison: Serve as a key contact for internal teams, global HQ, VIP guests, and external partners, managing communications with professionalism and discretion.
  • Event & Conference Support: Assist in the planning and coordination of high-level meetings, conferences, and corporate events in collaboration with internal teams and vendors.
  • Document Management: Manage confidential documents, reports, and presentations, ensuring accuracy and integrity.
  • Administrative Excellence: Support with general administration tasks including correspondence drafting, expense reporting, HR coordination, and special projects.
  • Office Organisation: Maintain an efficient and professional environment within the GM’s office, fostering a productive working space.

Candidate Profile

  • Experience: Minimum 5+ years as an Executive Assistant, ideally supporting senior executives within a luxury brand, fashion house, or premium retail environment.
  • Language: Fluent English required; Arabic or French is a plus.
  • Professionalism: Discreet, composed, and polished in every interaction. Able to manage sensitive information with total confidentiality.
  • Organisational Talent: Highly organised with strong attention to detail and the ability to manage multiple tasks and priorities simultaneously.
  • Communication Skills: Strong written and verbal communication skills, with confidence engaging across all levels of the organisation.
  • Proactive Nature: A self-starter who anticipates needs, solves problems before they arise, and thrives in a high-performance culture.
  • Tech Proficiency: Skilled in Microsoft Office Suite; experience with travel management tools and project systems is a plus.
  • Cultural Awareness: Adaptable and culturally sensitive; experienced in working within an international and diverse environment.
