Position Overview :
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to the CEO. The ideal candidate must be a fluent Arabic speaker, capable of handling sensitive and confidential information with discretion and professionalism.
Key Responsibilities :
- Provide comprehensive secretarial and administrative support to the CEO and support day-to-day office requirements including, but not limited to, undertaking basic research, preparing documents and communications, coordinating meetings, and organizing meeting logistics and managing the schedule.
- Manage and maintain the CEO’s calendar, ensuring scheduling efficiency and prioritization of key meetings.
- Coordinate meetings, events, and conference calls, including preparing agendas and materials.
- Handle correspondence on behalf of the CEO, including email management, document preparation, and communication follow-ups.
- Ensure the CEO is well-prepared for meetings by providing briefing materials and background information.
- Organize travel arrangements, including flights, accommodations, and itineraries, ensuring all travel logistics are handled smoothly.
- Act as the primary point of contact between the CEO and internal / external stakeholders.
- Screen and prioritize incoming inquiries, ensuring that urgent matters are addressed promptly.
- Facilitate effective communication between the CEO’s office and various departments.
- Draft and review documents, memos, reports, and presentations for accuracy and clarity before submission
- Assist with the coordination of key administrative projects, tracking milestones and ensuring deadlines are met.
- Support the CEO in preparing materials for board meetings, presentations, and executive reports.
- Monitor action items and follow up on the completion of tasks assigned by the CEO.
- Handle sensitive information with the utmost discretion, ensuring confidentiality is always maintained.
- Manage confidential documents, records, and files with a high level of organization and security.
- Ensure that administrative processes are streamlined and effective to maximize efficiency.
- Provide research support on various projects, helping the CEO with background information and analysis.
- Assist with special initiatives as directed by the CEO, including cross-functional efforts within the organization
- Support duties from other departments when required.
Position Requirements :
- Bachelor’s degree in business administration or a related field; Master’s degree is a plus.
- Minimum 3 years of experience in a similar executive support role.
- Fluency in Arabic and English (written and spoken) is mandatory.
- Strong organizational and time management skills.
- Excellent communication, interpersonal, and multitasking abilities.
- High level of discretion, integrity, and confidentiality.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
