Job description

LIN SCAN is seeking an experienced Personal Assistant to provide comprehensive secretarial and administrative support to the CEO, handling highly confidential and sensitive matters.

Key Responsibilities & Authorities
  1. Manage electronic mails: read, comprehend, sort, and respond to emails requiring immediate attention.
  2. Coordinate and report office-related issues to the CEO; take dictation and respond electronically as advised.
  3. Delegate tasks and give instructions to HODs and employees on behalf of the CEO.
  4. Maintain corporate confidentiality at all times.
  5. Report malfunctions, anomalies, and irregular activities to Top Management.
  6. Receive and accommodate CEO’s guests, VIPs, and visitors.
  7. Draft, review, and revise general correspondence.
  8. Handle and screen incoming calls for the CEO.
  9. Respond to internal queries via calls or email.
  10. Coordinate HR and Accounts issues such as approvals for travel and hotel bookings.
  11. Manage petty cash fund for the CEO’s Office.
  12. Maintain and update the CEO’s diary and schedule.
  13. Handle instructions regarding personal matters of the CEO.
  14. Update and organize database and contact information.
  15. Arrange travel plans and meeting schedules abroad.
  16. Attend meetings, record minutes, and transcribe them.
  17. Initiate and implement corrective actions when necessary.
  18. Represent the CEO during absence within delegated capacity.
  19. Issue official correspondence on behalf of the CEO when required.
Skills/Experience
  • Bachelor Degree (considered an added value).
  • Minimum of 5 years’ experience working with senior management.
  • Proficiency in MS Office applications.
  • Ability to handle confidential information with discretion.
  • Experience working with diverse cultures.
  • Strong attention to detail, multitasking, time management, and communication skills.
Physical and Mental Requirements
  • Ability to lift and carry up to 50 pounds.
  • Mobility to walk, climb, and maneuver within various environments.
