Job description

Executive Assistant / Team Assistant
Dubai, UAE
AED 10-12,000 + Benefits

We are seeking an Arabic and English speaking Executive Assistant/Team Assistant to support a multinational company based in Dubai. Reporting to the Head of the department, the responsibilities include:

  1. Handling and following up on document flow to and from the team.
  2. Preparing agendas, organizing meetings, and making travel arrangements for the team.
  3. Coordinating and ensuring the implementation of management decisions and action points by liaising with department heads.
  4. Managing all internal and external correspondences, ensuring prompt responses to important emails, maintaining confidentiality, and safely filing important documents.
  5. Acting as the main liaison between the Head Office and department heads and staff.
  6. Preparing presentations upon request.
  7. Supervising and guiding junior administrators according to established policies and workflows.
  8. Arranging team meetings and committees, preparing agendas, and distributing them to concerned members prior to meetings.
  9. Attending and documenting minutes of monthly meetings, circulating minutes to relevant parties, and maintaining records.
  10. Participating in the team’s Annual Meeting.

The ideal candidate must possess the following:

  1. Personal Skills: Good communication skills, hardworking, planning, time management, self-management.
  2. Key Skills: Fluency in both Arabic and English (spoken and written); knowledge of French is an advantage. Proficiency in Microsoft Office (Excel, PowerPoint).
