Executive Assistant, Roadshow coordinator
Our client is a leading independent advisory firm specialising in private markets. They are currently seeking a Roadshow and Internal Events Assistant for the Middle East & Asia region. This role will involve supporting the organisation and execution of client roadshows and internal events, working closely with the EMEA & APAC Roadshow Manager.
Key Responsibilities:
- Roadshow Coordination: Assist the Roadshow Manager in organising client roadshows across the Middle East & APAC regions.
- Administrative Support: Provide diary management, coordinate travel arrangements, and make reservations to support team operations.
- Internal Events Management: Facilitate the organisation of internal roadshows, manage logistics for team visits to the Middle East, and support internal events.
- Conference and Event Management: Oversee registration and coordination for attendees at EMEA & APAC conferences and organise smaller, client-focused events in collaboration with the Communications and Marketing team.
- Annual Events: Work with senior management to plan and execute the annual company off site and Pineapple Week in APAC, managing travel itineraries and logistics.
- Cross-Functional Support: Assist various business areas during quieter periods and contribute to project planning and operational change initiatives.
Preferred Experience:
- Experience working as an Executive Assistant in a busy PE business with a principal attending many fundraising events across multiple time zones.
- Familiarity coordinating industry-specific events such as IPEM, Super Return, and PEI Global Infrastructure.
- Background in professional services, investment management, or financial services.
- Experience in roadshow or event coordination is highly desirable.
Detailed Role Responsibilities:
- Manage and coordinate multiple conference schedules and related travel logistics in APAC & EMEA.
- Conduct meetings to allocate responsibilities for client interactions at conferences.
- Plan and execute smaller events, ensuring alignment with brand and budget.
- Maintain comprehensive project calendars and ensure thorough logistical arrangements.
- Build relationships with external vendors to optimise value for the company.
