Job description

The primary role of the Executive Assistant is to assist and manage the CIO's office. Responsibilities include organizing administrative activities, greeting visitors, managing correspondence, making travel arrangements, handling expenses, and supporting DI Finance.

KEY RESPONSIBILITIES AS EXECUTIVE ASSISTANT AND ADMIN:
  1. Provide high-level administrative support to the department, especially to the CIO.
  2. Coordinate meetings, maintain calendars, and prepare reports and presentations.
  3. Draft agendas, prepare minutes, and communicate meeting details.
  4. Screen calls, manage records, oversee office equipment, and coordinate with HR and finance departments.
  5. Handle procurement, insurance, petty cash, visa applications, and administrative policies.
  6. Assist onboarding, maintain vendor relations, and ensure proper documentation and compliance.
  7. Manage office supplies, IT equipment, and sustainability initiatives.
  8. Coordinate vehicle reservations and manage SLAs and NDAs with subsidiaries.
KEY RESPONSIBILITIES AS IT PROJECT OFFICER:
  1. Coordinate IT projects, manage schedules, and document project phases.
  2. Maintain records related to transformation initiatives and facilitate stakeholder meetings.
Desired Candidate Profile
  • Minimum 10 years of relevant experience, including managing senior management offices.
  • Strong confidentiality, communication, and management skills.
  • Proficiency in MS Office, project coordination, and problem-solving.
  • Energetic team leader capable of motivating others and managing multiple priorities.
  • Detail-oriented, hardworking, and able to work within diverse groups.
