Job description

The Opportunity:

We are seeking a highly organized and discreet Executive Assistant plus Office Manager to provide comprehensive administrative and operational support to a high-profile CEO. This is a role requiring the utmost professionalism, confidentiality, and attention to detail. The successful candidate will be responsible for managing both executive-level administrative tasks and the day-to-day operations of the office.

Key Responsibilities:

Executive Support:

  • Provide high-level administrative support to the Senior Executive, including managing the executive's calendar, scheduling meetings, and coordinating travel arrangements.
  • Handle confidential information with discretion and ensure the executive is well-prepared for all meetings and engagements.
  • Screen and manage incoming communications, including emails, calls, and correspondence, prioritizing and responding as necessary.
  • Prepare and edit documents, presentations, and reports for the executive.
  • Organize and maintain the executive’s files and records, ensuring confidentiality and security.
  • Serve as the primary point of contact between the executive and internal/external stakeholders, ensuring smooth communication and coordination.
  • Comply with QHSE (Quality Health Safety and Environment), Business Continuity, Information Security, Privacy, Risk, Compliance Management and Governance of Organizations policies, procedures, plans and related risk assessments.

Requirements:

  • Bachelor’s degree in Business Administration, Management, or a related field is preferred.
  • A minimum of 7 years of experience in an Executive Assistant role, with at least 2 years of office management experience.
  • Experience supporting C-level executives, preferably within a high-profile or confidential environment.
  • Excellent organizational and multitasking skills, with the ability to manage multiple priorities and deadlines.
  • Strong communication skills, both written and verbal, with fluency in English; fluency in Arabic is an advantage not a must-have.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to work independently with minimal supervision, demonstrating sound judgment and discretion.
  • High level of professionalism, integrity, and confidentiality.
  • Fluent in English; Arabic language skills are advantageous.
