General Purpose

We are seeking a highly organized and proactive Executive Assistant to support our Executive Office. The ideal candidate will serve as a critical support role within the Executive Office of Wynn Al Marjan Island, providing administrative, operational, and strategic assistance to the executive leadership. This position requires a high level of organization, discretion, and professionalism, ensuring that the office runs efficiently and effectively in alignment with organizational goals.

Nature & Scope

Essential Duties & Tasks

General

  • Manage executive calendars, coordinate meetings, and schedule appointments with internal and external stakeholders. Prepare agendas and other supporting materials for meetings.
  • Draft, review, and manage correspondence on behalf of the Executive Office, including emails, reports, and presentations. Act as the primary point of contact for inquiries and requests directed to executives.
  • Arrange and manage travel itineraries, including flights, accommodations, and transportation, ensuring seamless logistics for executives.
  • Organize and oversee events, conferences, and executive meetings, ensuring all aspects are handled efficiently and professionally.
  • Assist in the planning, execution, and monitoring of projects, providing updates and tracking deliverables to ensure deadlines are met.
  • Handle sensitive information with the utmost discretion and confidentiality, maintaining a professional demeanor at all times.
  • Monitor and manage office supplies, equipment, and vendor relationships to ensure smooth daily operations.
  • Build and maintain relationships with internal teams, clients, and external partners, fostering a collaborative environment.
  • Coordinate and communicate with internal and external stakeholders on behalf of the executive team.

Skills / Knowledge

  • Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
  • Minimum of 5 years of experience as an Executive Assistant or in a similar role, preferably within hospitality, luxury, or corporate environments.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and familiarity with online scheduling and project management tools.
  • Excellent verbal and written communication skills, with the ability to interact effectively with stakeholders at all levels.
  • Strong analytical and problem-solving abilities to anticipate needs and address challenges proactively.
  • Meticulous attention to detail in managing tasks, preparing documents, and organizing events.
  • High level of discretion, confidentiality, and integrity in handling sensitive matters.
  • Flexibility to adapt to changing priorities and work effectively under pressure.
