Job Description


We are seeking a highly organized and proactive Executive Assistant to support our Vice President. The ideal candidate will be detail-oriented, possess excellent communication skills, and be capable of managing multiple tasks efficiently.

Executive Support:


  • Provide high-level administrative support to senior executives, including managing complex calendars, scheduling meetings, and handling correspondence.
  • Act as a gatekeeper, managing the flow of information to ensure executives' time is focused on critical issues.
  • Prepare and edit reports, presentations, and other documents with accuracy and completeness.

Key Responsibilities


Communication:

  • Serve as the primary contact point between executives and internal/external stakeholders, maintaining professional communication.
  • Draft, review, and send communications on behalf of executives, ensuring clarity and consistency.
  • Facilitate communication within the executive team and across departments for alignment and collaboration.
  • Handle sensitive information discreetly, maintaining confidentiality.

Meeting Coordination:

  • Organize and coordinate meetings and townhalls, prepare agendas, take minutes, and follow up on action items.
  • Manage logistics for executive and high-level meetings, ensuring all technical and material needs are met.

Travel Arrangements:

  • Plan and book detailed travel itineraries, accommodations, and transportation for executives, focusing on efficiency and cost-effectiveness.
  • Prepare necessary documentation and contingency plans for travel.

Project Management:

  • Assist with special projects by conducting research, preparing reports, and creating presentations.
  • Manage multiple projects, ensuring deadlines and objectives are met.
  • Collaborate with departments to gather information and resources.

Requirements


  • Bachelor's degree in Business Administration or related field preferred.
  • Minimum of 5 years of experience as an Executive Assistant or similar role.
  • Fluency in English and Portuguese, both written and verbal.

Knowledge & Skills


  • Exceptional communication skills, effective at all organizational levels.
  • Strong organizational and time-management abilities with keen attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams); SAP knowledge is a plus.
  • Ability to work independently and collaboratively, demonstrating flexibility.
  • High professionalism, discretion, and integrity.
