Title: Executive Assistant to the Chairman / CEO

Location: Dubai

Reports To: Chairman / CEO

Job Type: Full-time

Position Overview

The Executive Assistant (EA) to the Chairman / CEO provides high-level administrative support,

ensuring smooth and efficient operations of the executive office. The EA serves as a trusted

gatekeeper, liaison, and strategic partner to the CEO, handling sensitive matters with discretion and professionalism.

Key Responsibilities

  • Calendar & Schedule Management: Coordinate and maintain the Chairman / CEO’s schedule, meetings, appointments, and travel itineraries.
  • Communication: Screen, respond to, and prioritize emails, phone calls, and correspondence on behalf of the Chairman / CEO.
  • Meeting Support: Prepare agendas, take minutes, follow up on action items, and ensure relevant materials are distributed ahead of time.
  • Travel Arrangements: Plan complex domestic and international travel, including flights, accommodation, ground transportation, and detailed itineraries.
  • Information Management: Maintain confidentiality while managing files, records, and documents critical to executive operations.
  • Project Coordination: Assist with key strategic projects, initiatives, and presentations; track progress and deadlines.
  • Stakeholder Liaison: Act as the primary point of contact between the Chairman / CEO and internal/external stakeholders.
  • Office Administration: Support broader administrative functions as needed to ensure organizational efficiency.

Qualifications

  • Bachelor’s degree preferred.
  • 5+ years of experience in a senior administrative or executive assistant role.• Exceptional written and verbal communication skills.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and other productivity tools.
  • High level of professionalism, discretion, and integrity.
  • Strong organizational, problem-solving, and decision-making skills.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
