Job description

Role Description

This is a full-time on-site role located in Dubai for an Executive Assistant to the

Director. The Executive Assistant will be responsible for providing high-level administrative

support, managing the executive’s schedule, coordinating meetings and

appointments, handling communication, and ensuring the effective operation of the

office. The role also involves preparing reports, handling confidential documents, and

liaising with internal and external stakeholders to facilitate the executive’s work.

Required Skills & Qualifications:

Bachelor’s degree in Business Administration or related field. MBA preferred but

not mandatory.

3 to 5 years of proven experience supporting senior leadership or C-suite

executives.

Exceptional communication (written & verbal), interpersonal, and organizational

skills.

Proficient in MS Office (Excel, Word, PowerPoint, Outlook), Google Workspace,

and virtual communication tools.

Strong attention to detail, multitasking abilities, and time management.

High level of integrity, professionalism, and discretion.

Ability to work in a fast-paced environment and adapt to changing priorities.

Key Responsibilities:

Provide high-level administrative support to the Director, focusing on daily

operations and strategic initiatives.

Manage and coordinate calendar, meetings, appointments, travel arrangements,

and events efficiently.

Prepare executive-level reports, presentations, memos, and correspondence with

meticulous attention to detail.

Handle confidential documents and communication with integrity and discretion.

Follow up on action items and tasks delegated by the MD to internal and external

stakeholders.

Act as the point of contact between the MD and clients, senior management, and

employees.

Coordinate board meetings, internal reviews, and performance trackers as

required.

Assist in business research, MIS reporting, data collection, and document

management.

Monitor emails and communications, prioritizing urgent matters for the MD’s

attention.

Support strategic planning, project tracking, and follow-through on key initiatives.
