Job description

We are looking for an Executive Assistant for a global Ecommerce company based in Dubai.

Location – Dubai, UAE

Salary – 15,000 – 21,000 AED/month + competitive benefits

Requirements:

  • 5+ years of experience as an executive assistant supporting senior leadership, with a strong background managing complex calendars, multi‑zone meetings, and international travel.
  • Extensive experience managing events, VIP visits, and internal meetings from end‑to‑end, including F&B arrangements and special requests.
  • Strong, assertive personality — confident, direct, and able to manage stakeholders at all levels.
  • Straight to the point in communication, highly organized, and able to anticipate and adapt quickly to changing priorities.
  • Must be comfortable working around alcohol and facilitating arrangements related to events or meetings.
  • Proficiency in Microsoft Office and related productivity applications
  • Experience leading process improvement initiatives
  • Experience in a fast‑paced, high‑tech environment
  • Strong organizational, communication, and problem‑solving skills
  • Ability to prioritize and manage multiple projects while meeting tight deadlines

Role and Responsibilities:

  • Partner with senior leaders, cross‑functional teams, and other executive assistants to provide seamless support across the organization.
  • Proactively manage executive calendars across multiple time zones (US, India, UAE), ensuring priorities are met and time is optimized.
  • Coordinate domestic and international travel in line with policies and procedures, ensuring effective use of time and resources.
  • Plan and execute VIP visits, including arrangements for meetings, meals, special requests, and entertainment (including serving and arranging alcoholic beverages when required). Must be comfortable and confident working around alcohol.
  • Organize and manage meetings, off‑site events, and internal team‑building events. Must have prior experience planning and managing events from end‑to‑end.
  • Prepare and circulate meeting agendas and ensure accurate follow‑ups.
  • Identify and implement process improvements that create efficiency and scalability for the leadership team.
  • Track and drive the completion of key deliverables, following up on outstanding items as needed.
  • Maintain a collaborative, positive, and fun work environment.
