Location: Al Barari, Dubai

Start Date: September 30th, 2025

Salary: AED 5,500 per month

Role Summary

We are seeking a highly organized and proactive Executive / Team Assistant to provide support to our leadership and operational teams. This role blends executive support with coordination across departments, vendors, and clients - making it ideal for someone with strong communication, multitasking, and problem-solving skills.

Key Responsibilities

Executive & Team Support

* Manage and prioritize calendars, meetings, and schedules for senior leadership

* Coordinate with internal personal assistants and external stakeholders

* Take meeting minutes, track action items, and ensure timely follow-ups

* Draft and prepare professional correspondence, presentations, and reports

* Support with ad hoc requests including client pitches and documentation

CRM & Workflow Management

* Maintain accurate project and client records in Salesforce and/or Monday.com

* Monitor task workflows, project milestones, and team assignments

* Raise internal and external support tickets and ensure resolution within SLAs

Facilities & Client Coordination

* Liaise with the facilities team to ensure timely resolution of client service tickets

* Track open/closed tickets, escalate where necessary, and maintain service logs

* Provide regular updates to clients on progress and issue resolution timelines

Finance & Administration

* Consolidate monthly expenses, receivables, and payables for reporting

* Raise and process supplier/vendor invoices and coordinate payment schedules

* Ensure proper documentation for all financial submissions to the accounts team

Vendor & Supplier Management

* Liaise with suppliers, service providers, and contractors on behalf of the team

* Manage quotations, timelines, and quality control on deliverables

* Maintain a vendor database and ensure service compliance

Regulatory & Compliance Support

* Assist in managing corporate documentation and renewals with:

* DED / DET (Dubai Department of Economy and Tourism)

* Dubai Land Department (DLD)

* Real Estate Regulatory Authority (RERA)

* Stay informed of relevant regulatory deadlines and requirements

Qualifications & Skills

* Minimum 2 years of experience in an executive or team assistant role

* CRM experience with Salesforce and/or Monday.com

* Strong understanding of financial administration including invoicing and reporting

* Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook)

* Excellent written and verbal English communication skills

* Good knowledge of Dubai corporate and real estate regulations, including license, visa, emirates id renewal and issuance processes

* Experience coordinating with facilities, suppliers, and service teams
