Job description

As the Executive Assistant, you will play a critical role in overseeing a wide range of administrative, operational, and support functions to ensure the efficient and effective day-to-day operations of the business.

Responsibilities
  • Manage the CEO's diary and appointments.
  • Screen incoming calls and correspondence and respond independently when required.
  • Liaise with relevant individuals, departments, and external customers and suppliers on CEO's requests and submissions.
  • Assist in presentations and other reports and documents as needed.
  • Manage in coordination with travel department travel plans, itineraries, expenses.
  • Assist in planning and organizing visits of selected visitors.
  • Create and maintain database, spreadsheet files and digitally archive documents, records, and reports.
  • Arrange and coordinate events when required.
  • Proofread material (emails, documents, social media posts, etc).
  • Attend meetings alongside or on behalf of the CEO to take detailed minutes and gain insights into key messages from brands and partners.
  • Create and maintain updated pending to-do lists.
  • Keep CEO up to date with deadlines.
  • Ensure the preparation of meeting rooms for any CEO meeting.
  • Greet and host all external visitors.
  • Coordinate with IT and ensure IT equipment is up to date.
  • Support the CEO with managing and optimizing social media platforms, including LinkedIn.
  • Provide copywriting support for CEO-related materials such as press releases, internal and external conference speeches, and other communication needs.
